Full Job Description Summary:
The office administrator will act as an informal project manager for leadership, keeping initiatives on track, proactively identifying needs, and serving as the bridge between executive priorities and day-to-day execution across the organization. They are responsible for overseeing the daily administrative operations and managing vendor relationships for all Friendship Home locations. Serving as a central point of contact for internal departments and external partners, the office administrator ensures smooth, consistent, and effective office operations across the organization. The position works closely with the Chief Executive Officer, Chief Operating Officer and Board of Directors on a variety of activities, projects, and assignments.
Accountability:
Reports to the Chief Operating Officer. Supervises Facilities Coordinator and Technology Coordinator.
Knowledge and Skills:
Exceptional organizational skills and an ability to juggle multiple priorities without dropping the ball A customer-service-focused approach — friendly, professional, and welcoming when interacting with staff, community partners, and vendors Experience with SharePoint and the Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams) Strong written and verbal communication skills A proactive, "no task too small" attitude paired with the ability to prioritize issues Comfort working closely with senior leadership and handling confidential information appropriately A calm, adaptable presence who can manage ambiguity and shifting priorities in a fast-moving environment Experience in a nonprofit or small-organization environment where roles are broad and fluid is preferred Ability to handle sensitive and confidential agency information appropriately and with sound judgment at all times
Education and Work Experience:
Bachelor's degree and minimum of 5-7 years of experience in office management, senior project coordination, executive assistant or similar right-hand role. Three to five years of experience leading and supervising teams.
Essential Duties and Responsibilities:
Serve as the primary point of contact for the CEO and COO, managing calendars, scheduling, and competing priorities Track and follow up on action items, deadlines, and deliverables across leadership initiatives — essentially project-managing the CEO's and COO's workstreams Serve as a primary communication bridge between staff, departments, and leadership Prepare agendas, briefing documents, and materials for meetings, board updates, and internal reviews Work with the CEO on board-related items, such as agendas, correspondence and schedules Attend board meetings and take minutes Serve as a member of the leadership team and take minutes Approve office and facilities expenditures Request bids and finalize office and facilities contracts Maintain board-related files, both physical and electronic, and respond to requests for assistance and/or information from board members or as needed Serve as the central coordinator and scheduler for all agency scheduling, including community partner meetings and internal committee meetings Coordinate and schedule all staff meetings, including securing meeting space and assigning or arranging food for each meeting Manage office operations, vendor relationships, and day-to-day logistics Manage and direct everyday functions of office operations including office supply inventory Coordinate on office assignments, furniture and equipment Manage keys for all Friendship Home facilities Draft correspondence, presentations, and internal communications on behalf of leadership Anticipate needs and proactively solve problems, keeping leadership informed as appropriate Coordinate cross-functional projects, chasing down updates and removing blockers so initiatives stay on schedule Provide executive assistant support to the CEO and COO The specific statements shown in each section of this description are not intended to be all-inclusive.
