This vital role ensures that administrative functions run smoothly, providing exceptional support to staff, clients, and visitors alike. As an Office Manager, you will be the backbone of our administrative team, driving efficiency and maintaining a professional atmosphere that promotes success. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette. Oversee office supplies inventory, procurement, and filing systems to ensure seamless daily operations. Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software like Microsoft Office and Google Workspace. Perform data entry tasks with accuracy using spreadsheets and word processing tools; maintain detailed records for administrative purposes. Support bookkeeping activities such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar software. Manage HR and payroll operations, including filing payroll taxes, quarterly reports, and W-2s. Assist with clerical duties including proofreading documents, preparing reports, and managing correspondence to uphold high standards of professionalism. Provide customer service support by addressing client inquiries via phone or email and ensuring positive client communication experiences. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks for bookkeeping tasks; experience with data entry and filing systems is essential. Excellent computer literacy including typing speed, proofreading skills, and technical proficiency in productivity software. Ability to handle multi-line phone systems, demonstrate strong phone etiquette, and communicate effectively with clients and team members. Bilingual abilities are a plus to support diverse client interactions; previous experience as a medical receptionist or personal assistant is advantageous. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
