Duties and Responsibilities:
The Warranty Office Administrator will play a crucial role in managing the administrative lifecycle, service contracts and aftersale items. Specific duties include, but are not limited to:
Remissions:
Accurately processing of extended service and aftersale items to manufacturers.
Cancellations:
Handling the administrative process for the cancellation of various extended service contracts and other after-sales products. This involves calculating pro-rata refunds, coordinating with finance managers and third-party providers, and ensuring timely and accurate processing for the customer.
Extended Service Contracts and After Sales Services:
Managing the documentation, submission, and tracking of extended service contracts, GAP insurance, and other ancillary products. This includes ensuring all necessary paperwork is completed accurately at the point of sale, uploaded into the dealership management system, and registered with the respective providers. The administrator will also serve as a liaison between the Service and Finance departments regarding service contract inquiries and claims status.
Record Keeping and Auditing:
Maintaining comprehensive and organized files, both physical and digital, service contracts, and cancellations. Assisting with internal and external audits to ensure compliance and accuracy of records.
Qualifications and Experience:
Automotive Experience Preferred but not required, we are willing to train the right individual.
Exceptional Organizational Skills Detail-Oriented Communication Skills Computer Proficiency:
Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
