The Office Manager will play an important role in the daily administrative operations of the program while supporting staff, clients, and the Program Director. The ideal candidate will have strong organizational and communication skills, the ability to multitask in a busy behavioral-health environment, and a professional and compassionate approach when interacting with individuals receiving mental health services. Key Responsibilities Oversee the day-to-day administrative operations of the program. Assist with general program activities and other duties as assigned. Coordinate office activities and maintain an organized, professional environment. Assist the Program Director and clinical staff with administrative needs. Maintain accurate client and program records and documentation. Assist with scheduling, attendance tracking, and daily program operations. Answer phones, respond to inquiries, and communicate professionally with clients, families, staff, and outside providers. Assist with onboarding and administrative coordination for employees. Maintain office supplies, records, forms, and other administrative materials. Assist with compliance-related documentation and preparation for audits or inspections. Coordinate transportation schedules and assist with transportation-related needs. Safely operate the program's passenger van to transport clients to and from the program and approved activities when needed. Coordinate all administrative operations within the mental health day program, including patient scheduling, record management, and billing procedures. Oversee electronic health records (EHR) systems like EMR/EHR platforms to ensure accurate documentation and compliance with HIPAA regulations. Maintain compliance with healthcare laws including HIPAA, managed care policies, and other relevant regulations. Assist the Program Director and clinical staff with administrative needs. Maintain accurate client and program records and documentation. Assist with scheduling, attendance tracking, and daily program operations. Answer phones, respond to inquiries, and communicate professionally with clients, families, staff, and outside providers. Assist with onboarding and administrative coordination for employees. Maintain office supplies, records, forms, and other administrative materials. Assist with compliance-related documentation and preparation for audits or inspections. Coordinate transportation schedules and assist with transportation-related needs. Safely operate the program's passenger van to transport clients to and from the program and approved activities when needed. Ensure that the vehicle is maintained in a clean and safe condition and report any maintenance or safety concerns promptly. Proven experience with knowledge of healthcare management practices. Experience working within managed care environments or utilization management processes is highly desirable. Qualifications High school diploma or equivalent required; college degree preferred. Prior experience in office management, administration, healthcare, behavioral health, or a related field preferred. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information appropriately. Comfortable working with individuals experiencing mental health challenges. Ability to multitask and work independently in a fast-paced environment. Proficiency with Microsoft Office and basic computer applications. Valid driver's license with a clean driving record required. Ability and willingness to drive a program passenger van as part of the position. Must be dependable, punctual, professional, and able to work effectively as part of a team. Preferred Experience Experience working in a mental health, behavioral health, partial-care, adult day program, substance-use, or healthcare setting is strongly preferred.
