$28.84/hr-$40.87/hr, commensurate with relevant experience Our client, an established private psychology and neuropsychology practice in Florham Park, NJ, is seeking an experienced Office Manager to oversee day-to-day operations and serve as a trusted operational partner to the Practice Director. The practice provides forensic psychological and neuropsychological evaluations, clinical services, and rehabilitation services and works with attorneys, physicians, corporations, public safety professionals, educational organizations, and government entities. This is a hands-on management role for someone who is highly organized, communicative, business-minded, and comfortable creating structure in a growing professional practice.
The Office Manager will:
Oversee daily office operations and supervise front-office administrative staff. Manage workflows for referrals, new patient intake, scheduling, active cases, report deadlines, and follow-up. Maintain tracking systems to ensure referrals and cases continue moving efficiently. Coordinate vendors, office supplies, psychological testing materials, technology, and other operational needs. Assist with recruiting, hiring, onboarding, job descriptions, and employee documentation. Help maintain and improve office policies, procedures, and the practice's procedural manual. Support HIPAA-related administration, credentialing, licensing, continuing education tracking, and other compliance-related processes. Maintain organized electronic patient, case, contract, and administrative records. Communicate professionally with patients, attorneys, referral sources, clinicians, vendors, and staff. Support practice-development initiatives, marketing materials, and recruitment of clinical psychology students and post-doctoral fellows. Identify opportunities to improve processes, organization, communication, and overall practice efficiency. What experience we are looking for: 5+ years of relevant office, practice, or operations management experience preferred. Bachelor's degree in psychology, business, healthcare administration, or a related field strongly preferred. Experience in a mental health, behavioral health, medical, legal, forensic, or other professional-services environment strongly preferred. Previous experience supervising administrative staff. Exceptional organizational, communication, and follow-through skills. Ability to manage multiple priorities and deadlines in a fast-paced environment. Strong judgment, discretion, and comfort handling highly confidential information. Strong Microsoft Office skills, particularly Outlook and Word. Comfortable developing processes and tracking systems where formal systems may not yet exist. Candidates with an LSW/LCSW and mental health management experience, as well as experienced law office or medical practice managers, are encouraged to apply. Because the practice specializes in forensic psychology, candidates should be comfortable working in an environment involving legal, criminal justice, and other sensitive subject matter. Assignment:
