Role Description The Office Administrator is a hybrid, part time role responsible for supporting the daily operations of Insight Counseling and Care. This role includes managing client scheduling, maintaining electronic records, and coordinating virtual appointments for providers. The Office Administrator will respond to client inquiries, handle intake procedures, and support billing and insurance verification processes as needed. Daily tasks also involve organizing digital files, monitoring email and phone communications, and ensuring administrative workflows run efficiently. The role requires consistent, professional communication with clients and clinicians while maintaining confidentiality and accuracy in all administrative activities. Qualifications Candidates should possess strong Office Administration and Administrative Assistance skills, including organizing records, managing schedules, and coordinating daily office operations. Candidates should possess experience working with Office Equipment and related digital tools, including basic troubleshooting of printers, scanners, and secure online platforms. Candidates should possess excellent Communication and Customer Service skills, with the ability to interact professionally and empathetically with clients and staff. Candidates should possess familiarity with healthcare or counseling environments and an understanding of confidentiality and privacy standards (e.g., HIPAA). Candidates should possess strong time management, attention to detail, and problem-solving abilities, and be comfortable working independently in a remote setting. Prior experience as an office administrator, receptionist, or coordinator, and proficiency with scheduling software and basic productivity tools (e.g., email, calendar, spreadsheets, sharedrive) are beneficial.
