Job Description

General Description St. Michael Parish seeks a reliable, detail-oriented, and professional Part-Time Secretary/Office Manager to join ourparish team. This position serves as the welcoming first point of contact for parishioners, visitors, vendors, andcommunity members. The role supports both pastoral and administrative operations by ensuring timely communication,accurate recordkeeping, and smooth day-to-day office functioning, with the highest level of discretion andconfidentiality regarding parish and sacramental information. Specific Duties/Responsibilities
  • Manage daily office operations including answering phones, greeting visitors, responding to emails, and coordinating office supply needs.
  • Maintain parish records and files in both electronic and paper formats, including within Google Workspace and related parish systems.
  • Prepare, proofread, and format the weekly parish bulletin using Canva, coordinatingsubmissions anddeadlines with staff and ministry leaders.
  • Maintain the parish membership registry in eCatholic ChMS and ensure records are accurate and up todate.
  • Process religious education registrations and Mass card requests and maintain related documentation.
  • Handle intake and scheduling for baptisms, weddings, and funerals , ensuring records, schedules, and documentation are complete and accurate.
  • Coordinate the Pastor's administrative calendar , including appointments, meetings, and parish-related commitments.
  • Maintain strict confidentiality regarding parishioner information, sacramental records, clergy matters, andother sensitive parish business.
  • Provide administrative support for seasonal parish events, sacramental celebrations, special programs, and special bulletins as needed.
  • Collaborate with parish staff and ministry leaders (including the Director of Children's Religious Education, Music Director, and other ministry leaders/volunteers) to support smooth operations of parish activities.
  • Work independently and manage multiple priorities while exercising sound judgment.
Qualifications/Skills Strong interpersonal and communication skills ; professional, welcoming presence. Organized, detail-oriented , and able to manage priorities effectively. Solid working knowledge of the Catholic faith , including Sacraments and parish traditions. Proficiency with Microsoft Word, Google Workspace (Gmail, Calendar, Drive, Docs, and Sheets), Canva, and social media tools. Ability to learn and effectively use the parish's record and database systems , including eCatholic ChMS. Professional judgement and discretion Physically able to walk between the rectory and church, including frequent stair use. Education and/or Experience (Preferred) High School Diploma required 3-5 years of preferred experience in administrative support, office management, parish administration, or similar setting. Experience managing calendars, records, correspondence, databases, and multiple priorities. Experience in a church, nonprofit, school, or other community-oriented organization is desirable. Physical Demands
  • Ability to handle and transport supplies (including lifting or carrying moderate items as needed)
  • Ability to use stairs and to access storage areas as required for the position.
Schedule:
  • Monday to Friday 10:00 am - 2:00 pm. (20 hours per week)
  • In addition to the 20 hours per week: occasional weekend coverage (approximately 4-5 weekends per year) may be required when the Pastor is away.
