Executive Assistant / Full-Charge Bookkeeper & Office Manager Raphael Porcelain Lodi, NJ Job Details Full-time From $60,000 a year 1 day ago Qualifications Customer communication Executive administrative support Attention to detail QuickBooks Office management Time management Full Job Description We are seeking a highly organized, dependable, and experienced Executive Assistant / Full-Charge Bookkeeper & Office Manager to join our team in Lodi, New Jersey . This is a hands-on position for someone who is comfortable managing accounting responsibilities while also supporting executives and handling the day-to-day needs of a busy office. The ideal candidate is detail-oriented, proactive, trustworthy, and able to manage multiple priorities in a fast-paced work environment . This is a fully in-person position. Candidates must be able to work on-site at our Lodi, NJ office. Key Responsibilities Manage accounts payable and accounts receivable Process and track invoices, payments, collections, and vendor accounts Perform bank and credit card reconciliations Maintain the general ledger and prepare journal entries Assist with month-end closing and financial reporting Prepare cash-flow and other management reports Assist with payroll processing Maintain accurate financial records and documentation Create and maintain detailed Excel spreadsheets Manage executive calendars, appointments, meetings, and scheduling Coordinate travel arrangements as needed Prepare correspondence, reports, and other business documents Communicate with vendors, customers, contractors, and other business partners Assist with office management and day-to-day administrative operations Maintain confidential company, financial, and employee information Coordinate projects and follow up to ensure deadlines are met Handle special projects and other responsibilities for ownership/management as needed Help identify and resolve problems quickly and efficiently Qualifications Previous experience in bookkeeping, accounting, executive assistance, or office management Strong knowledge of Accounts Payable, Accounts Receivable, General Ledger, and bank reconciliations Experience with QuickBooks Desktop and QuickBooks Online Strong Microsoft Office skills, particularly Excel, Outlook, and Word Excellent organizational and time-management skills Strong attention to detail and accuracy Ability to prioritize and manage multiple tasks simultaneously Comfortable working independently and taking ownership of responsibilities Strong written and verbal communication skills Professional when dealing with customers, vendors, employees, and management Ability to handle confidential information with discretion Resourceful, proactive, and able to solve problems without constant supervision Must be able to work effectively in a fast-paced environment where priorities can change quickly Must be dependable and consistently available to work in person in Lodi, NJ Ideal Candidate We are looking for someone who becomes a reliable go-to person within the company — someone who takes ownership, follows through, notices details, anticipates what needs to be done, and helps keep the business organized and running efficiently.
