Job Description
Job Description The Office Manager is responsible for overseeing the daily administrative and operational functions of the Eastern New Mexico Water Utility Authority (ENMWUA). This position ensures efficient office operations, supports executive leadership and staff, manages official documentation, and maintains compliance with internal procedures and public agency requirements. The ideal candidate will be highly organized, proactive, and capable of independently managing multiple responsibilities in a professional government environment. Essential Functions and Responsibilities Provide administrative support to the Director and senior staff, including scheduling, document preparation, and internal communications Prepare agendas and meeting packets for board and committee meetings Attend board and committee meetings to assist with roll call, take detailed notes, and transcribe accurate meeting minutes Serve as ENMWUA's document controller, responsible for organizing, filing, and maintaining all official documents Ensure all documents are properly stored and managed in SharePoint, following established naming conventions and access protocols Review outgoing documents for accuracy and completeness prior to mailing or distribution Assist with document control and preparation for audits and compliance reviews Serves as the agency's Policy Manager, responsible for maintaining, updating, and coordinating all organizational policies and ensuring compliance with approved procedures and regulatory requirements Answer incoming calls, greet visitors, and maintain a professional and welcoming front office environment Manage incoming and outgoing mail and deliveries Update the organization's website with meeting notices, agendas, and other relevant content Monitor office supplies and coordinate restocking and vendor communication Coordinate all building repairs and maintenance, including scheduling service providers and tracking work orders Oversee basic vehicle maintenance scheduling and documentation Perform light cleaning and upkeep of shared spaces to ensure a tidy and functional work environment Willingness to obtain notary certification to support organizational needs Support general office operations and perform other duties as assigned Requirements and Qualifications Minimum of 2 years of professional experience in administrative support or office coordination Demonstrated ability to manage sensitive documents with accuracy and confidentiality Proficiency in Microsoft Office Suite and SharePoint document management Strong written and verbal communication skills, with experience taking formal meeting minutes Professional demeanor and customer service skills for front office interactions Highly organized, detail-oriented, and capable of managing multiple priorities Willingness to obtain notary certification to support organizational needs Valid driver's license or ability to obtain Benefits ENMWUA offers a comprehensive and competitive benefits package, including: Health Insurance Dental Insurance Vision Insurance Short‑Term Disability Insurance Long‑Term Disability Insurance Life Insurance 3% Employer Match on
