In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly and efficiently. Responsibilities Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Coordinate calendar management and scheduling for team members, appointments, and meetings using productivity software and Google Workspace tools Maintain accurate records through data entry, filing, and updating spreadsheets with attention to detail and accuracy Oversee office supplies inventory, place orders as needed, and ensure the office environment remains organized and welcoming Provide exceptional customer support by responding promptly to inquiries via phone or email in a bilingual capacity if applicable Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices Support administrative tasks such as proofreading documents, word processing, and managing correspondence with clients and vendors Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for document creation, spreadsheets, and communication Strong computer literacy with experience in data entry, filing systems, and technical proficiency in office productivity tools Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Effective phone communication skills coupled with proper phone etiquette for multi-line systems and customer interactions Bilingual abilities are highly desirable to assist diverse client needs effectively Previous office management or administrative experience preferred; experience as a medical or dental receptionist is a plus Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous Ability to multitask seamlessly while maintaining high levels of accuracy in proofreading, typing, and document handling Join us to be part of a vibrant team where your organizational prowess and proactive approach will make a real difference!
