Treatment Coordinator / Front Office Administrator - Full Time Rio Grande Orthodontics | Santa Fe, NM Rio Grande Orthodontics is seeking a professional, friendly, organized, and motivated Treatment Coordinator / Front Office Administrator to join our team full time. We are looking for someone who is confident working with people, communicates professionally, stays organized in a fast-paced environment, and understands the importance of creating an exceptional patient experience. Our ideal candidate is warm and welcoming, dependable, detail-oriented, comfortable discussing treatment and finances with patients, and able to manage multiple responsibilities while maintaining a professional and positive attitude. Schedule Full-Time Employment Monday through Friday, approximately 8:00 AM-5:00 PM. Our primary office is located in Santa Fe, NM. Travel to our remote office locations is required on Thursdays and Fridays. Applicants must be comfortable traveling as part of their regular work schedule. Treatment Coordinator Responsibilities Welcome new patients and families and create a positive first impression Guide patients through the orthodontic consultation process Explain orthodontic treatment recommendations and treatment options Present treatment fees, payment options, and financial arrangements Discuss insurance benefits and estimated patient responsibility Help patients feel comfortable and confident beginning orthodontic treatment Follow up with prospective patients regarding treatment Coordinate new patient consultations and treatment starts Maintain accurate patient information and documentation Provide excellent customer service throughout the patient experience Front Office / Administrative Responsibilities Schedule and coordinate patient appointments Answer incoming phone calls professionally Manage voicemail, email, and patient communication Verify dental and orthodontic insurance benefits Submit and follow up on insurance claims Collect and process patient payments Confirm appointments Maintain accurate patient records Assist with patient questions and concerns Manage patient relations and provide excellent customer service Assist with office organization and administrative duties Order and maintain office supplies Assist with marketing, patient outreach, and community events Communicate effectively with doctors, clinical staff, patients, and parents Help maintain an organized, efficient, and professional office environment Assist with additional front office and practice needs as necessary Qualifications We are looking for someone who is: Professional and dependable Friendly, outgoing, and personable Comfortable meeting and speaking with new people Able to communicate clearly and confidently Highly organized and detail-oriented Able to multitask and prioritize responsibilities Comfortable working in a busy, fast-paced environment Able to provide exceptional customer service Comfortable discussing fees, insurance, and payment options Confident using computers and learning new software Professional on the phone and through written communication Reliable and punctual Able to work independently while also being a strong team player Willing and able to travel to remote offices on Thursdays and Fridays Flexible and willing to assist wherever needed to help the practice operate smoothly Preferred Experience Experience in any of the following areas is a plus: Orthodontic or dental office experience Treatment coordination Dental or orthodontic insurance Insurance verification Dental claims Patient scheduling Front desk or medical office administration Customer service Sales or treatment presentation Financial presentation or payment arrangements Patient relations Healthcare administration Orthodontic experience is preferred but not required.
