Job Description

Description We are looking for an experienced EA/ Office Manager to support senior leadership for a global holding company in Las Vegas, Nevada. This position blends office administration, bookkeeping support, and high-level EA coordination, requiring sound judgment, discretion, and exceptional organization. The ideal candidate is comfortable handling sensitive financial and legal records while keeping schedules, travel plans, reporting, and day-to-day office needs running smoothly.
Responsibilities:
  • Oversee a wide variety of administrative activities and special assignments, ensuring deadlines are met and leadership priorities are supported efficiently.
  • Build and maintain well-structured electronic records for financial, legal, and operational documents so information is accurate, secure, and easy to retrieve.
  • Prepare, update, and format business documents, spreadsheets, presentations, and reports using Microsoft Office applications, with strong emphasis on Excel.
  • Manage complex calendars for leadership, adjusting meetings proactively to address schedule conflicts, travel changes, and shifting business needs.
  • Arrange domestic and international travel logistics, including flights, lodging, transportation, and detailed itineraries.
  • Gather receipts and submit expense reports in a timely and accurate manner through Concur or a comparable expense management platform.
  • Support the planning and coordination of meetings, dinners, and other internal or external events, helping ensure a well-organized experience for attendees.
  • Compile recurring and ad hoc financial, legal, and operational summaries for leadership, and distribute routine reports according to established schedules.
  • Handle personal administrative matters such as organizing financial paperwork, securing signatures, completing errands, and assisting with property-related documentation as needed.
  • Act as a reliable point of contact for executives, employees, and external partners while maintaining sound judgment and strict confidentiality. Requirements
  • 5+ years of experience in office management, executive support, or administrative operations, including work with senior executives or C-suite leaders.
  • College degree or equivalent practical experience in an administrative, bookkeeping, or business support environment.
  • Proficiency in Microsoft Office Suite, including advanced Excel skills and strong capability in Word and PowerPoint.
  • Experience with bookkeeping tasks and financial processes such as accounts payable, accounts receivable, bank reconciliations, and QuickBooks.
  • Familiarity with Concur or similar tools used for expense reporting and reimbursement tracking.
  • Ability to work with sensitive legal and financial documentation while maintaining a high level of accuracy and discretion.
  • Strong communication, organizational, and time-management skills, with the ability to manage multiple priorities independently.
  • Sound judgment, personal integrity, and a dependable work ethic suited to a confidential leadership support role.
