Position Overview The Office Administrator functions as administrative support to the Branch Manager or Office Manager. The Office Administrator is responsible for assisting with the day-to-day administrative operations of the office, ensuring a smooth and efficient work environment. This role serves as the central point of contact for internal staff, visitors, and vendors, providing professional support in scheduling, record keeping, communications, and general office management. The Office Administrator will maintain organized systems, uphold company policies, and assist with basic financial and operational tasks to support overall business objectives Responsibilities Serve as the first point of contact for visitors, clients, and incoming calls, providing professional and courteous assistance. Manage office calendars, schedule meetings, and coordinate travel arrangements. Greet visitors, answer and direct phone calls, and provide general information. Maintain filing systems (digital and paper) and ensure records are accurate and accessible. Prepare correspondence, reports, and presentations as needed. Order and maintain office supplies, equipment, and service contracts. Process invoices, expense reports, and purchase orders; assist with budget tracking. Assists with timesheets and minimal human resources record keeping. Distribute internal communications and maintain up-to-date contact lists. Ensure compliance with office policies, safety procedures, and organizational standards. Support onboarding for new hires, including workspace setup and orientation. Assist with planning and execution of company events and meetings. Qualifications High school diploma or equivalent; associate or bachelor's degree preferred. 5+ years of administrative or office management experience. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office technology. Strong organizational, multitasking, and time management skills. Excellent written and verbal communication abilities. Professional demeanor, discretion, and attention to detail. Travel Requirements • This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs. Physical Demands & Work Environment This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment. The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions. The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms. Qualifications:
