full-time Sierra Executive Solutions, Inc. (SES) is a 3rd party search firm recruiting for a homebuilder client's Office Administrator career opportunity. This is an on-site role in downtown Reno, NV and local applicants will be given preference. Position Summary The Office Administrator is the organizational backbone of the front office, providing a welcoming first point of contact for visitors and callers while supporting the accounting and customer service functions behind the scenes. This role requires someone who is highly organized, detail-oriented, and comfortable juggling multiple ongoing responsibilities without letting anything fall through the cracks. Responsibilities Reception & Front Office Greet visitors, homebuyers, and trade partners in a warm, professional manner Maintain a tidy, organized, and welcoming front office/reception area Accounting Administration Receive, sort, and process incoming invoices; route for approval and coding Assist with data entry and recordkeeping to support Accounts Payable Maintain organized digital and physical filing of accounting documents Support the accounting team with light administrative tasks as needed Customer Service Administration Enter, track, and update homeowner work orders in the system Make confirmation calls to homeowners for scheduled appointments and service visits Coordinate scheduling between homeowners, trade partners, and the Customer Service Manager Maintain accurate, up-to-date records of service requests and follow-ups Communicate professionally with homeowners regarding scheduling and status updates Qualifications 2+ years experience in Office Administration is preferred. Exceptionally organized, with strong attention to detail and follow-through Excellent verbal and written communication skills Strong interpersonal skills and a professional, customer-focused demeanor Ability to manage multiple priorities and deadlines simultaneously Proficient in Outlook and Excel, with a willingness and ability to learn Newstar Prior reception, administrative, or customer service experience preferred Comfortable working in a fast-paced office environment with frequent interruptions
