Job Description
About the Role We're a small independent diesel repair shop looking for a Service Administrator to run our front office and keep the service department organized. This is the administrative engine of the shop, not the money desk. You'll be the first voice customers hear, the person who turns incoming work into accurate repair tickets our techs can act on, and the one who keeps parts moving and files in order. Billing, payments, and collections are handled elsewhere. Your focus is a clean, well-run office and a service department that stays organized. One lane, not three. The job runs in two modes, and the right person toggles between them cleanly: warm and calm with customers on the phone and at the counter, then heads-down and precise on tickets, parts pricing, and filing. What You'll Own Front desk & scheduling Answer incoming calls and greet customers Set and manage the appointment schedule Keep customers updated on vehicle status throughout the service process, explaining repair options and next steps in clear, understandable terms Service writing (ShopMonkey) Create repair tickets in ShopMonkey Enter vehicle info accurately onto every ticket Research parts pricing to build accurate estimates Enter parts pricing onto tickets Parts Order parts against approved tickets Track and reconcile parts pricing back to the ticket Records & documentation Scan and file documents into the correct records Keep customer and vehicle files complete and current What Good Looks Like (First 90 Days) Tickets are accurate the first time — vehicle info, parts, and pricing match reality, with minimal tech rework Estimates go out same-day, priced correctly Phones answered, appointments booked, no dropped customers Files are clean and current — anything can be found in seconds You're a Fit If You Are organized and detail-obsessed — you catch the wrong part number before it's ordered Can switch gears all day between talking to customers and grinding through data entry Are comfortable learning shop software (ShopMonkey) and basic parts lookup Keep paperwork and files tidy without being reminded Who Thrives Here This role rewards precise, methodical people who take pride in accurate, detailed work.
