Job Description

First Response Restoration is looking to hire an office manager to help grow our full-service cleaning and restoration company. Founded in 1991, First Response has been operating in the NY tri-state area for more than 30 years. With clients ranging from residential to commercial, First Response handles small to large projects with ease. Administrative & Office Operations Manage daily office operations, including scheduling, phones, correspondence, and office supplies. Maintain organized digital and physical filing systems for contracts, work orders, and compliance documents. Oversee job intake, documentation, and project tracking from start to completion. Process accounts receivable/payable, insurance billing, and vendor invoices. Coordinate HR functions such as onboarding, timekeeping, and maintaining employee records. Project Support Assist project managers with job costing, estimates, and progress reporting. Ensure compliance with industry standards, insurance requirements, and company policies. Support coordination of crews, subcontractors, and equipment for efficient job completion. Team Leadership & Communication Supervise office staff (administrative assistants, coordinators). Train and support employees in company systems, policies, and software. Facilitate communication between management, field teams, and customers.
Qualifications Education:
Associate's or Bachelor's degree preferred; equivalent experience accepted.
Experience:
3+ years in office management, preferably in restoration, construction, or service-based industries.
Skills:
Proficiency with restoration/project management software (e.g., Xactimate, DASH, QuickBooks, CRM systems). Strong knowledge of insurance billing processes and compliance documentation. Excellent organizational, multitasking, and problem-solving abilities. Strong written and verbal communication skills.

$55,000.00 - $75,000.00 per year
