Job Description

We are looking for a reliable, organized, and motivated Office Manager to join our growing team. This is a hands-on leadership position responsible for overseeing the day-to-day operations of our office, call center, drivers, helpers, and support staff. The ideal candidate is a strong communicator who can prioritize tasks, manage multiple responsibilities, solve problems, and work independently with minimal supervision . This person should be comfortable taking initiative, holding team members accountable, and making sure daily operations run smoothly.
Responsibilities Include, But Are Not Limited To:
Office & Administrative Management Oversee the day-to-day operations of the office and ensure an organized, productive work environment. Answer and direct incoming phone calls, emails, and internal communications. Manage office correspondence and ensure information is communicated to the appropriate departments. Schedule and coordinate meetings, appointments, and conference calls. Maintain organized physical and digital filing systems. Ensure important records and documentation are accurate, current, accessible, and secure. Call Center & Staff Coordination Oversee and coordinate the daily activities of call center and office staff. Assign tasks and responsibilities based on daily business needs. Monitor workflow and help ensure calls, customer inquiries, scheduling, and administrative tasks are handled efficiently. Serve as a key point of contact between the office, call center, drivers, helpers, and management. Promote teamwork, accountability, professionalism, and a positive work environment. Driver & Helper Operations Coordinate with drivers and helpers to ensure daily routes and assignments are properly organized. Help address scheduling issues, staffing needs, and operational challenges. Communicate important updates and changes to drivers and helpers. Monitor daily operations to help ensure employees are following company procedures and expectations. Human Resources Support Assist with recruiting, including posting job advertisements, reviewing applicants, and scheduling interviews. Assist with onboarding and training new employees. Maintain accurate employee records, including attendance and required documentation. Track employee certifications, licenses, and other required records. Assist management with employee-related issues and documentation. Fleet Management Oversee the daily operation and scheduling of company vehicles. Coordinate vehicle maintenance, inspections, registrations, and insurance requirements. Track fuel usage, vehicle expenses, and maintenance needs. Schedule repairs and service with outside vendors. Maintain accurate fleet records. Help ensure company vehicles are operated safely and in compliance with company policies and applicable requirements. Customer & Donor Relations Respond to customer and donor questions, concerns, and complaints in a professional and timely manner. Work with staff to resolve issues and provide appropriate solutions. Help maintain a high standard of customer and donor service. Ensure customer and donor concerns are properly communicated to management when necessary. Operations & Project Management Support and lead internal projects and operational improvements. Coordinate with different departments to ensure goals, deadlines, and responsibilities are clearly understood. Identify operational issues and help develop practical solutions. Follow up on assigned tasks to ensure they are completed properly and on time. Help management maintain an efficient and organized operation. Compliance & Company Policies Help implement and enforce company policies and procedures. Monitor employee compliance with company standards and operational requirements. Keep track of required licenses, certifications, inspections, and other compliance-related items. Assist with preparing for audits, inspections, and other compliance requirements. What We're Looking For Previous office management, operations, supervisory, or administrative experience preferred. Strong organizational and time-management skills. Excellent communication and interpersonal skills. Ability to manage multiple priorities in a fast-paced environment. Ability to work independently and make sound decisions. Strong problem-solving skills and attention to detail. Comfortable working with office staff, call center employees, drivers, helpers, and management. Ability to hold employees accountable while maintaining a professional and positive work environment. Proficiency with computers, email, Microsoft Office, and general office software. Dependable, professional, and willing to take initiative. Pay:
$20.00 - $30.00 per hour Expected hours: 40.0 - 45.0 per week
