Job Description

Position Summary The Office Manager is responsible for overseeing the day-to-day administrative functions of the office while supporting the company's human resources activities. This position serves as a central point of contact for employees, management, vendors, and outside service providers and helps ensure that the office operates efficiently and professionally. The role combines traditional office management responsibilities with hands-on HR administration, including employee onboarding, benefits coordination, personnel records, recruiting support, company policies, and employee communications. The ideal candidate is highly organized, approachable, discreet, and comfortable managing a broad range of responsibilities in a small-to-midsize business environment. Key Responsibilities Office Administration & Management Manage the day-to-day administrative operations of the office and help maintain an organized, professional, and efficient workplace. Serve as a primary point of contact for employees, visitors, vendors, and outside service providers. Manage office supplies, equipment, purchasing, and vendor relationships. Coordinate maintenance and service needs for office facilities and equipment. Manage incoming and outgoing correspondence, mail, shipments, and general office communications. Assist management with scheduling, meetings, travel arrangements, company events, and other administrative needs. Maintain company records, files, forms, and administrative documentation. Coordinate with outside vendors for services such as insurance, telecommunications, office equipment, building maintenance, and other business services. Assist with special projects and administrative initiatives as needed. Human Resources Administration Coordinate the employee onboarding process, including new-hire paperwork, orientation, benefit enrollment, policies, and required documentation. Coordinate employee offboarding, including documentation, benefit notifications, return of company property, and other administrative requirements. Maintain accurate and confidential employee personnel files and HR records. Assist with recruiting activities, including posting positions, reviewing applications, scheduling interviews, communicating with candidates, and preparing offer documentation. Administer employee benefit programs in coordination with insurance brokers and benefit providers. Assist employees with routine questions regarding benefits, policies, vacation/PTO, and other HR-related matters. Track employee PTO, attendance, reviews, training, and other personnel information as required. Coordinate annual benefit enrollment and communicate benefit changes to employees. Assist management with the preparation and maintenance of employee handbooks, company policies, job descriptions, and HR procedures. Help coordinate employee performance review processes and maintain associated documentation. Support employee training, company meetings, recognition programs, and employee events. Maintain confidentiality regarding compensation, employee records, personnel matters, and other sensitive company information. HR Compliance & Policies Help maintain required employment records and workplace postings. Assist management in maintaining HR policies and procedures consistent with applicable federal, state, and local employment requirements. Coordinate required employee forms, acknowledgments, training, and documentation. Assist with workers' compensation administration and workplace injury documentation when necessary. Work with outside HR consultants, insurance brokers, payroll providers, attorneys, or other professional advisors when appropriate. Maintain appropriate confidentiality and secure handling of personnel and company information. Qualifications 3-5 years of experience in office administration, office management, human resources administration, or a related role preferred. Experience working in a small or midsize business environment is strongly preferred. Working knowledge of common HR administrative practices, including onboarding, benefits, personnel records, and payroll coordination. Strong organizational skills with the ability to manage multiple responsibilities and priorities. Excellent written and verbal communication skills. Strong interpersonal skills and the ability to work effectively with employees at all levels of the organization. High degree of professionalism, discretion, and judgment when handling confidential information. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Because this position interacts with employees throughout the organization, the individual should also be approachable, responsive, and capable of handling sensitive employee matters professionally.
Reporting Relationship Reports to:
VP Finance & Accounting This position works closely with company management, employees, accounting, payroll providers, benefit providers, and outside HR professionals. Position Type Full-time, on-site position. Typical business hours are Monday through Friday on site in Long Island City NY, with occasional flexibility required based on company needs. $50,000.00 - $60,000.00 per year
