Description We are looking for an organized Office Manager to support daily administrative operations for a Contract position based in New York, New York. This role will help keep the workplace running efficiently by coordinating front-office activities, managing essential supplies, and assisting with financial administration. The ideal candidate brings a practical, service-oriented approach and is comfortable balancing receptionist support with office coordination responsibilities.
Responsibilities:
- Oversee day-to-day office administration to ensure an efficient, well-organized work environment.
- Coordinate the purchasing of office materials and track inventory to keep essential supplies readily available.
- Monitor stock levels regularly and replenish workplace items before shortages affect operations.
- Manage front-desk activities by greeting visitors, answering incoming calls, and directing inquiries appropriately.
- Support accounts payable tasks by organizing invoices, preparing documentation, and assisting with payment processing.
- Maintain orderly office records and administrative files to improve accessibility and day-to-day workflow.
- Work with internal teams and external vendors to address office-related needs in a timely manner. Requirements
- Previous experience in office management, administrative support, or a similar business operations role.
- Working knowledge of office supply coordination, vendor ordering, and inventory upkeep.
- Experience assisting with accounts payable processes, including invoice handling and payment support.
- Ability to manage receptionist responsibilities with professionalism and strong customer service skills.
- Strong organizational skills with the ability to handle multiple administrative priorities at once.
- Clear written and verbal communication skills for interacting with staff, visitors, and vendors.
- Proficiency with standard office software and general administrative systems.
