Job Description

We are looking for an experienced, hands-on Bookkeeper who can take ownership of the company's day-to-day bookkeeping and financial administration while also supporting general office operations. Strong bookkeeping experience is essential for this position. The successful candidate will have a solid understanding of full-cycle bookkeeping, accounts payable, accounts receivable, bank reconciliations, payroll, financial reporting, and QuickBooks. This is not an entry-level bookkeeping position. In addition to bookkeeping responsibilities, this role includes office management, customer service, payroll administration, vendor coordination, and general administrative support. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable taking ownership of financial records and deadlines. What You'll Be Responsible ForFull-Cycle Bookkeeping & Accounting Maintain accurate and up-to-date company books in QuickBooks Online and QuickBooks Desktop . Record and reconcile daily financial transactions. Maintain accurate cash balances across multiple bank accounts. Perform monthly bank reconciliations for checking and savings accounts. Review accounts for discrepancies, errors, and unusual transactions and resolve issues promptly. Maintain organized and accurate financial records and supporting documentation. Assist with monthly and year-end financial reporting. Prepare financial information and documentation for the company's outside accounting firm. Provide financial information needed for corporate tax preparation. File quarterly sales tax returns. Assist with year-end close and accounting-related projects. Accounts Receivable Prepare and issue customer invoices accurately and on schedule. Post and reconcile customer payments in QuickBooks. Process checks, cash, and online credit card payments. Maintain accurate customer account balances. Prepare and send customer statements. Monitor outstanding receivables and follow up with customers regarding past-due balances. Assist with collections and maintain accurate AR records. Prepare daily deposit reports for ownership. Prepare monthly retainer-hour reports for account representatives. Respond to customer questions regarding invoices, account balances, and reconciliations. Accounts Payable Enter, code, and maintain vendor bills in QuickBooks. Set up new vendors and maintain W-9 documentation. Review vendor invoices for accuracy and proper documentation. Maintain accurate vendor balances and records. Prepare weekly bill payments for owner approval. Ensure bills and payments are properly recorded and reconciled. Payroll & Payroll Accounting Process bi-weekly payroll accurately and on time. Submit payroll tax payments and maintain payroll records. Reconcile payroll-related accounts. Track employee PTO balances. Process employee 401(k) contributions. Prepare quarterly payroll summaries for the outside accounting firm. Prepare annual 1099s and 1096s for contractors. Provide payroll information required for tax filings and year-end accounting. Maintain confidential payroll and employee records. Office & Administrative Management Manage daily office operations and administrative needs. Answer and direct incoming phone calls professionally. Maintain organized client and employee files. Assist with client retainer contracts and documentation. Support the owner with special projects and administrative tasks. Coordinate new-hire onboarding and maintain personnel files. Provide general administrative support as needed. Promotional Products Coordination Source promotional products through the ASI network. Coordinate artwork approvals between clients and vendors. Prepare purchase orders. Monitor vendor production and order status. Communicate with clients and vendors regarding orders. Invoice clients for promotional product orders. What We're Looking For Strong Bookkeeping Background Required We are specifically looking for someone who has significant hands-on bookkeeping experience and can confidently manage the company's day-to-day accounting functions.
The ideal candidate will have:
3+ years of hands-on bookkeeping/accounting experience preferred. Strong working knowledge of QuickBooks Online and QuickBooks Desktop . Demonstrated experience with full-cycle bookkeeping . Strong understanding of accounts payable and accounts receivable. Experience performing bank and account reconciliations. Experience processing payroll and payroll-related transactions. Experience preparing financial reports and accounting documentation. Experience with sales tax filings and 1099/1096 preparation preferred. Strong Excel and Microsoft Office skills. Excellent attention to detail and accuracy. Strong organizational and time-management skills. Ability to identify discrepancies and independently research and resolve accounting issues. Ability to meet recurring financial deadlines consistently. Strong communication and customer service skills. Ability to maintain strict confidentiality with financial and employee information. Ability to work independently and take ownership of responsibilities. The Right Person Will Be A strong bookkeeper first and an administrator second. Comfortable working directly in QuickBooks every day. Confident handling financial records and resolving discrepancies. Extremely detail-oriented and organized. Dependable and consistent with deadlines. Proactive rather than waiting to be told what needs to be done. Comfortable communicating with customers, vendors, employees, ownership, and outside accountants. Able to manage multiple responsibilities without losing accuracy.
