Job Description

Mary Christman and Gabrielle Maisonet are working with a growing construction and property management organization seeking a detail-oriented Office Manager to join their team!

This temp-to-hire opportunity is ideal for someone who enjoys a mix of administrative, operational, and accounting support in a fast-paced environment spanning trucking, construction, and property management. In this role, you'll support day-to-day office operations, coordinate scheduling and communications, assist with financial tasks, and help keep projects, properties, and internal systems running smoothly. If you're organized, proactive, and comfortable wearing multiple hats, this could be a great fit.

What you'll be doing:

Administrative & Office Management
  • Managing incoming calls, messages, and general inquiries
  • Maintaining calendars for office staff, field teams, and leadership
  • Monitoring and managing company and executive email inboxes
  • Creating and maintaining organized filing systems (digital and paper)
  • Ordering and maintaining office supplies and materialsScheduling, Dispatch & Operations Support
  • Reviewing property work orders, scheduling tasks, and tracking completion of open issues
  • Dispatching trucks and coordinating daily logistics
  • Maintaining daily work plans and employee scheduling
  • Creating and maintaining equipment, trucking, and inventory logsAccounting & Financial Support
  • Assisting with invoicing, accounts payable, and accounts receivable
  • Supporting financial tracking across multiple entities and propertiesTrucking & Reporting Support
  • Maintaining daily inspection sheets, maintenance logs, mileage, fuel tracking, and reportingCompliance, Permitting & Project Support
  • Assisting with workers' compensation, general liability, and insurance audits
  • Preparing company recertifications and compliance documentation
  • Supporting permit and application processes (DOL, Dig Safe, municipalities, etc.)
  • Assisting with proposal preparationHR & Administrative Support
  • Assisting with payroll, timesheet tracking, and reporting
  • Supporting benefits administration, including 401k coordination through Paychex
  • Coordinating travel arrangements
  • Preparing meeting materials, corporate minutes, and maintaining records
