Overview We are seeking a dynamic and highly organized Office Administrator to join our team. In this vital role, you will manage daily administrative operations, support office functions, and ensure smooth communication across departments. Your proactive approach and exceptional organizational skills will help us maintain an efficient, professional, and friendly office environment. Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Custom Dental Software Maintain accurate filing systems, both digital and physical, ensuring easy retrieval of documents Provide excellent customer service by addressing client inquiries promptly and effectively Assist with clerical duties including proofreading documents, managing correspondence, and supporting team members with administrative needs Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry Strong computer literacy with excellent organizational skills and attention to detail Experience with Denticon or similar dental software is a plus Excellent phone communication skills with knowledge of multi-line phone systems and phone etiquette Bilingual abilities are highly desirable to support diverse client interactions Demonstrated office management experience with the ability to prioritize tasks efficiently Exceptional time management skills combined with the ability to handle multiple responsibilities simultaneously Proven customer service skills with a friendly demeanor and professional attitude Technical proficiency in productivity software, typing accuracy, proofreading, filing systems, and calendar management Previous personal assistant or administrative experience preferred to support team needs effectively Join us to be part of a vibrant team where your organizational talents will make a real difference!
