POSITION SUMMARY:
Our client is seeking a highly organized and detail-oriented Office Manager to support the day-to-day operations of their small business in Blue Ash, Ohio. This position will work closely with the office assistant, warehouse team, sales staff, and accounting personnel to ensure the office operates efficiently and accurately. The ideal candidate will have QuickBooks and accounting experience , strong organizational skills, excellent follow-through, and the ability to manage multiple responsibilities in a hands-on small-business environment. This individual will play an important role in supporting Accounts Payable, Accounts Receivable, customer service, purchasing, sales support, financial reporting, and general office operations.
KEY RESPONSIBILITIES
Utilize QuickBooks to maintain and improve accounting processes and system functionality. Manage Accounts Payable , including reviewing invoices and processing weekly vendor payments. Support and oversee Accounts Receivable , including invoicing, payments, customer accounts, and follow-up. Learn established procedures and provide coverage for accounting responsibilities when other staff members are absent. Assist with monthly financial reports in coordination with the company accountant. Reconcile and balance company bank accounts. Monitor and reconcile VISA and company credit card expenses for sales personnel. Assist with job costing , project accounting, and tracking job-related expenses. Support payroll processing and related administrative responsibilities. Office Management Coordinate the day-to-day operation of the office and help maintain an organized and productive work environment. Work as part of a team with the office assistant and warehouse personnel to ensure daily business needs are addressed. Maintain and coordinate office equipment and communicate with vendors or service providers when repairs or maintenance are needed. Monitor and purchase office supplies and maintain appropriate inventory levels. Maintain organized company records, files, invoices, reports, and other documentation. Identify opportunities to improve office procedures, organization, and efficiency. Customer Service & Sales Support Answer incoming phone calls and provide professional customer service. Learn the company's product line and become knowledgeable enough to assist customers and support internal staff. Process customer and vendor orders accurately and efficiently. Work closely with vendors to place orders, obtain information, and resolve issues. Support the sales team with order placement, customer follow-up, payment collection, and other administrative needs. Communicate with customers regarding orders, payments, project information, and account questions. Assist with projects and jobs by tracking orders, payments, progressive billing, and related documentation. Team & Business Support Work collaboratively with office, warehouse, sales, and accounting personnel. Provide backup coverage for other administrative and accounting responsibilities as needed. Take ownership of assigned tasks and ensure responsibilities are completed accurately and on time. Assist with additional accounting and office management responsibilities as the position develops.
QUALIFICATIONS
Previous experience in office management, accounting, bookkeeping, or administrative operations . QuickBooks experience required. Strong understanding of basic accounting principles. Experience with Accounts Payable and Accounts Receivable preferred. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Comfortable working with customers, vendors, sales personnel, and internal teams. Proficient with Microsoft Office, particularly Excel and Word . Ability to learn new products, procedures, and accounting processes. Ability to manage multiple priorities and work independently. Previous experience in a small-business environment is highly preferred. #HP123
