Job Overview We are seeking a dynamic and organized Office Manager/Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to handle a variety of tasks efficiently. In this role, you will be the backbone of our office, fostering a productive environment while providing outstanding support to staff and clients alike. Responsibilities Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure a well-functioning workspace Handle multi-line phone systems with professionalism, providing excellent customer service and directing calls accurately Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents and records Perform data entry and bookkeeping tasks using various software's to keep financial records up-to-date Coordinate calendar management and scheduling for staff appointments, meetings, and client engagements with precision Support front desk duties such as greeting visitors, managing client communication, and providing administrative assistance as needed Prepare correspondence, reports, spreadsheets, and Word processing documents with accuracy and attention to detail Assist with special projects requiring organizational skills, time management, and technical proficiency in Google Workspace and Microsoft Office Skills Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, spreadsheets, and productivity software Familiarity with various software's for bookkeeping and financial recordkeeping Strong organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional phone etiquette and customer service skills across multi-line phone systems Bilingual abilities are highly desirable to communicate effectively with diverse clients and team members Experience as a dental or medical receptionist or personal assistant is a plus High level of accuracy in data entry, proofreading, filing, and document management Ability to manage calendars efficiently while demonstrating excellent time management skills Technical proficiency in office equipment such as multi-line phones, fax machines, scanners, and computer systems Join us in creating an energetic workplace where your organizational talents shine!
