Job Description
Office Administrator Charis Homes is looking for a sharp, highly organized, detail-oriented Office Administrator who takes initiative, follows through, and knows how to keep things moving. This is an important role within our small, fast-moving company. We're looking for someone who is dependable, resourceful, professional, and comfortable taking ownership of their responsibilities without needing constant direction. The right person will notice what needs to be done, ask good questions, solve problems, stay ahead of deadlines, and take pride in getting the details right. As our Office Administrator, you'll help keep the day-to-day operations of Charis Homes organized and running smoothly. You'll interact with homeowners, prospects, vendors, subcontractors, employees, and management while supporting a variety of administrative and operational needs.
Responsibilities Include:
Answer phones, respond to routine questions, and make sure calls and messages get to the appropriate person. Communicate professionally and promptly with customers, vendors, subcontractors, employees, and other business partners. Maintain accurate and organized physical and electronic records, including customer, employee, vendor, and subcontractor files. Work within Buildertrend, SharePoint, Microsoft Office, and other company systems to maintain information and support daily operations. Assist with bank draws, monthly reporting, document preparation, meeting preparation, and other administrative processes. Track details, deadlines, documents, and follow-up items to help ensure nothing falls through the cracks. Manage office supplies and help maintain an organized, welcoming, and professional office environment. Provide administrative support to management and team members on ongoing projects and special assignments. Assist with company meetings, events, local errands, and other operational needs as they arise. Identify opportunities to improve organization, processes, and efficiency rather than simply waiting to be assigned the next task.What We're Looking For:

Have strong computer skills and can learn new software and systems quickly. Take pride in accuracy, organization, and doing things the right way. Have a positive, professional demeanor and work well as part of a team. Experience in construction, homebuilding, office administration, or Buildertrend is a plus, but it is not required.
