Business Office Administrator About the Role
The Business Office Administrator supports the campus business office by maintaining accurate student financial accounts and helping ensure timely billing, collections, deposits, and refunds. The role works with active and inactive student accounts, advises students on payment options and financial policies, and assists with records, purchasing, and day-to-day office needs in partnership with the Business Office Manager. Key Responsibilities Process invoices and expense reports; assign general ledger codes; research and resolve vendor invoice and payment issues.
Advise students about payment options and financial policies, and post tuition and fee payments with system-generated receipts.
Maintain student accounts through the collection process, including monitoring aged receivables and following up on past-due balances.
Coordinate referral of inactive student accounts to an outside collection agency and provide documentation needed for collection efforts.
Assist with charging tuition and fees in CampusVue and support revenue recognition, billing, cash receipts, and student refunds.
Assist with preparing bank deposits, entering related data, and preparing reports.
Periodically review student records to help ensure files contain current and accurate information.
Assist with purchasing campus supplies, textbooks, and other local items needed for campus operations.
Provide other support to the Business Office Manager as needed; perform other duties as assigned.
Maintain regular and reliable attendance. Qualifications and Skills Two years of accounting systems experience or equivalent education and collections experience.
Excellent communication skills.
Strong organizational skills and attention to detail.
CampusVue experience is a plus.
Additional schedule note: Evening and weekend hours may be required.
