CAREER OPPORTUNITY
Office Manager - Residential Homebuilding 1st Oklahoma Homes | Oklahoma City / Norman Area Reports to President / Builder Schedule & Pay [Details at Interview; Based on Experience] About the Role 1st Oklahoma Homes is seeking an organized, resourceful Office Manager to support the daily operations of our residential homebuilding company. This is a varied, hands-on role connecting homeowners, vendors, contractors, superintendents, sales representatives, and company leadership. The right person will be comfortable managing details, shifting priorities, and projects that range from warranty coordination and construction administration to marketing and home-selection support. Key ResponsibilitiesOffice Administration & Executive Support
  • Manage incoming calls, email correspondence, messages, calendars, records, filing systems, phone lists, and general office communications.
  • Prepare professional letters, forms, reports, meeting agendas, internal documents, and homeowner communications.
  • Maintain organized digital and paper files for active homes, vendors, invoices, permits, closing information, warranties, marketing, and company records.
  • Coordinate meetings, sales-office schedules, team communications, office supplies, mailings, and occasional local errands. Construction, Vendor & Financial Administration
  • Create, distribute, track, and organize purchase orders, invoices, construction loan requests, vendor documents, and supporting records.
  • Coordinate with contractors, vendors, superintendents, utility providers, energy raters, and municipalities to keep administrative items moving.
  • Track homes under construction, milestone information, inspections, permits, utility activity, closing dates, and homeowner information.
  • Prepare and submit energy-efficiency enrollments, testing requests, rebate applications, and required supporting documentation; maintain program records and deadlines.
  • Assist with builder compliance and recurring documentation, including SWPPP inspection records, membership or certification records, and related submissions as assigned. Warranty & Homeowner Care
  • Receive and document homeowner warranty requests, photos, and supporting details; distinguish routine requests from urgent service issues and route them appropriately.
  • Coordinate warranty appointments among homeowners, contractors, and superintendents; track follow-up through resolution and maintain clear records.
  • Prepare homeowner manuals, closing packets, RWC structural warranty documents, welcome materials, and other closing-related items.
  • Maintain professional, courteous communication with homeowners while following company procedures and warranty guidelines. Selections, Sales & Marketing Support
  • Help coordinate and document interior and exterior home selections, including paint, stain, flooring, tile, countertops, lighting, plumbing fixtures, appliances, and hardware.
  • Communicate selection details and changes with vendors, contractors, superintendents, and leadership; maintain accurate selection sheets and product information.
  • Create and update property flyers, social media graphics, community materials, open-house promotions, event information, signage, and other marketing content.
  • Update website and social media content, home availability, community information, pricing or incentive details, and construction progress as directed.
  • Support model-home, open-house, Parade of Homes, direct-mail, and community outreach projects, including coordination with sales representatives and outside partners. What Success Looks Like
  • Details are accurate, deadlines are tracked, files are easy to locate, and follow-up does not get lost.
  • Homeowners and business partners receive prompt, professional communication.
  • Leadership, superintendents, and sales representatives have the current information and materials they need.
  • The office remains organized and productive even when priorities change quickly. Qualifications
  • Prior experience in office administration, coordination, customer service, construction, home-building, real estate, property management, or a related field.
  • Strong written and verbal communication skills, sound judgment, discretion, and a service-minded approach.
  • Excellent organization, attention to detail, follow-through, and ability to manage multiple active projects and deadlines.
  • Comfort using Microsoft Office, email, shared files, online forms, social media, and web-based business systems; willingness to learn new tools.
  • Ability to work independently while collaborating effectively with leadership, field staff, sales representatives, vendors, contractors, and homeowners.
  • Valid driver's license and reliable transportation for occasional local errands or site-related tasks. Preferred Experience
  • Residential construction or homebuilding office experience.
  • Experience with purchase orders, invoices, permits, utility coordination, warranty administration, rebates, or construction documentation.
  • Experience with Canva or similar design tools, social media administration, website updates, or marketing collateral.
  • Interest in home design, finish selections, real estate, or new-home sales support.
