We are a small, family-owned company with three service vans, apprentices coming up through the trade, and a busy office that keeps all of it moving. That office seat is opening up, and we are looking for someone who can take ownership of it. This is not a narrow administrative position. You will be part dispatcher, customer-service lead, organizer, problem-solver, collections follow-up, marketer, and keeper of all the loose ends. There will usually be several irons in the fire at once, so you need to be someone who can keep track of the details without losing sight of what matters most. What You'll Do Keep customers taken care of. Answer calls, texts, and emails and return customer messages promptly. You will interact with roughly 150 to 200 customers each month, many of whom are calling because something in their home is leaking, clogged, broken, or otherwise making their day more complicated. Own the schedule. Book and schedule work in Housecall Pro, keep three service vans routed sensibly, and adjust when the day inevitably changes. A technician runs long. A customer needs to reschedule. A part does not arrive. You will help keep the day moving. Follow up relentlessly. Open estimates, missed calls, unbooked leads, customers waiting on parts, overdue invoices, and promised callbacks should not disappear into a black hole. You will help make sure the next step happens and the loop gets closed. Help generate business. This role is not limited to answering inbound calls. You will also make outbound calls, including cold or warm lead calls, follow up with past customers, help reactivate existing clients, and look for opportunities to keep Tulsa Plumbing and Remodeling top of mind throughout the customer lifecycle. Support our marketing and social media. You will help us keep social media active, coordinate promotions and customer outreach, support lead-generation efforts, and help track what is actually producing calls and booked work. You do not need to be a professional marketer, but you should be comfortable communicating with customers and helping turn ideas into action. Handle the uncomfortable conversations too. Sometimes a customer is unhappy. Sometimes an invoice is overdue. Sometimes a vendor, technician, or customer needs a clear answer they may not love. We need someone who can be kind and professional while still being direct. If you avoid conflict at all costs, this probably is not the right role. Keep the office running. Assist with invoicing and payment follow-up, review timecards before Thursday payroll, communicate with suppliers and property-management accounts, maintain customer and job information, and help keep administrative details organized and accurate. Know what you can solve and what needs to be escalated. You will learn our standard service pricing and processes, answer the questions you can, and know when something belongs with a lead technician or owner. Learn our systems. Housecall Pro is our primary service platform, and you will also work with tools such as QuickBooks, Google Workspace, our in-house scheduling and dispatch dashboard, and other systems we use to run the company. Who We're Looking For We are looking for someone who is: Organized under pressure. You can have a customer on the phone, a technician texting you, an invoice that needs attention, and three follow-ups waiting without losing track of what comes next. Thorough and detail-oriented. You notice when something does not add up, document what happened, and do not assume someone else will catch it. Comfortable being direct. You can handle upset customers, payment conversations, cold calls, and other potentially uncomfortable interactions professionally. Persistent with follow-up. You do not need to be reminded three times to call someone back. Good with people. Customers should feel heard and taken care of, even when you cannot give them the answer they hoped for. Comfortable with sales and lead generation. You do not have to be a high-pressure salesperson, but you cannot be afraid to pick up the phone, ask for the business, follow up on an estimate, or reconnect with an old customer. Able to prioritize. Everything feels important in a small business. You need to be able to decide what actually needs attention first. Comfortable learning software. Experience with Housecall Pro, QuickBooks, Google Workspace, CRM systems, scheduling software, or similar tools is helpful. If you are good with technology and willing to learn, we can teach you our systems. An owner of problems. When something lands on your desk, you work toward a resolution instead of simply passing it along. Two or more years of experience in an office, dispatch, customer-service, account-management, or similar role is preferred. Experience in plumbing, HVAC, electrical, construction, property management, or another home-service business is a plus, but plumbing knowledge is not required. We can teach you the plumbing. This position is full-time and on-site Monday through Friday in Tulsa.
