The Business Office Manager is responsible for overseeing all administrative, financial, and operational functions of the business office in accordance with company policies and procedures, as well as applicable federal and state regulations. This role ensures accurate financial reporting, billing, payroll, and resident account management while providing exceptional customer service to residents, families, and staff. Manage daily, weekly, and monthly business office operations. Maintain accurate accounting records, including accounts receivable (A/R), accounts payable (A/P), petty cash, and financial files. Record receivables, post cash receipts and disbursements, and prepare in-house financial reports. Reconcile monthly bank statements and ensure timely and accurate deposits of all cash receipts and wire transfers. Process payroll, including timekeeping, hour reconciliation, etc. Coordinate and collect monthly rent, meal charges, and miscellaneous fees; manage collections and document efforts in the billing system. Identify and resolve billing discrepancies; complete month-end close and participate in A/R reviews. Maintain accurate resident insurance and payer source information; assist with move-in paperwork and financial verification. Prepare and submit required reports, including sales tax returns and audit documentation, within designated timeframes. Respond to resident and family inquiries regarding billing and financial obligations with patience and professionalism. Maintain personnel and resident files. Greet visitors, answer phones, and direct inquiries appropriately. Participate in leadership meetings and contribute to problem-solving and decision-making processes. Stay current on assisted living billing practices and industry changes. Qualifications Previous PointClickCare (PCC) experience is required. Previous Business Office Manager, accounting, bookkeeping, property management, senior living, or comparable administrative experience strongly preferred. Experience with resident billing, accounts receivable, collections, payroll, and financial reconciliation. Strong attention to detail and ability to identify and correct financial discrepancies. Excellent organizational and time-management skills. Strong written and verbal communication skills. Comfortable communicating with older adults, families, employees, vendors, and leadership. Ability to handle confidential financial and personnel information with discretion. Proficiency with Microsoft Office, email, spreadsheets, and general business office technology. Ability to work independently while also functioning as an active member of the community leadership team.
