Business Office Manager Cedar Sinai Park - 3.2 Portland, OR Job Details Full-time $25.18 - $30.28 an hour 4 hours ago Qualifications Customer communication Full Job Description Business Office Manager Position Overview We are seeking an experienced, organized, and collaborative Business Office Manager to lead the financial and administrative operations of our skilled nursing community. This is a highly visible leadership role that works closely with the Administrator, department leaders, residents and families, and our interdisciplinary team. The Business Office Manager plays an important role in maintaining the financial health of the facility while ensuring residents and families receive knowledgeable, responsive, and compassionate support when navigating financial matters. In addition to leading the Business Office at Cedar Sinai Park, this position will have the opportunity to support process improvement initiatives at Vancouver Specialty and Rehabilitative Care , providing broader organizational exposure and the opportunity to help strengthen business practices across locations. What You'll Do Business Office & Financial Leadership Lead the day-to-day financial operations of the facility in accordance with generally accepted accounting principles, organizational policies, and applicable state and federal requirements. Manage and continuously improve Business Office processes related to: Accounts receivable and collections Accounts payable Resident billing Patient trust accounts Payroll coordination General ledger functions Purchase orders and business transactions Cash flow Liability and required financial notices Prepare and communicate financial information, reports, trends, and recommendations to the Administrator and organizational leadership. Ensure monthly billing is completed accurately and on time using the facility's accounts receivable software. Maintain appropriate billing checks and balances, including daily census reconciliation, Medicare triple checks, and other required billing controls. Monitor accounts receivable and proactively identify delinquent accounts, barriers to collection, and practical solutions. Coordinate with Admissions to evaluate payer sources and financial information as part of the pre-admission process. Maintain financial records and prepare information required for cost reporting, audits, vendors, and regulatory reporting. Medicare, Medicaid & Regulatory Compliance Maintain working knowledge of Medicare Parts A, B, and C, Medicaid, private long-term care insurance, and other payer requirements affecting skilled nursing reimbursement. Stay informed of CMS initiatives and regulatory developments that may affect the facility's financial operations and help educate other team members on relevant changes. Ensure Business Office practices comply with applicable long-term care requirements, including bed-hold notification requirements and other financial regulations. Support responses to survey findings related to accounting or Business Office practices and assist in developing and implementing plans of correction when necessary. Maintain confidentiality of resident, employee, and organizational information and uphold HIPAA, compliance, and ethical business standards. Leadership & Team Development Lead, support, and develop Business Office team members while creating an environment built on accountability, trust, collaboration, and excellent service. Provide clear expectations, ongoing coaching, and performance feedback in partnership with Human Resources. Promote teamwork and effective communication between the Business Office, Admissions, Nursing, Human Resources, and other departments. Build positive relationships with residents and families and help make financial processes easier to understand and navigate. Participate in facility committees, QAPI initiatives, facility assessments, and performance improvement activities as appropriate. Process Improvement & Organizational Impact Provide process-improvement oversight and support to Vancouver Specialty and Rehabilitative Care . Partner with facility leadership to implement improved Business Office processes and ensure new procedures align with organizational standards and goals. Monitor progress, identify opportunities for improvement, and recommend adjustments when processes are not producing the desired results. Conduct periodic reviews to ensure improvements remain effective and sustainable. Serve as a liaison between Cedar Sinai Park and Vancouver Specialty and Rehabilitative Care to promote knowledge sharing, consistency, and operational alignment. What We're Looking For Preferred Qualifications Three (3) years of experience in billing, Business Office operations, or a supervisory Business Office capacity within a hospital, skilled nursing facility, long-term care community, or related healthcare setting. Knowledge of skilled nursing and long-term care regulations, billing practices, procedures, and applicable state and federal requirements. Working knowledge of Medicare, Medicaid, private insurance, accounts receivable, accounts payable, and healthcare billing practices. Experience supervising, coaching, or developing employees. Strong proficiency with Microsoft Excel and Word, Adobe products, financial software, and electronic reporting systems. Ability to analyze financial information, identify trends or concerns, and communicate recommendations effectively. Work Environment This is an active leadership position that works throughout the facility and regularly collaborates with clinical and non-clinical departments. The position requires the ability to manage frequent interruptions, changing priorities, and occasional urgent matters. Some work outside normal business hours, including occasional evenings, weekends, holidays, or emergency call-backs, may be required based on operational needs. The position must also be able to meet the physical and health requirements established for facility employees and participate in emergency procedures, including assisting with resident evacuation when required.
