The Role As our Legal Office Coordinator, you will be the operational backbone of the firm. Wearing multiple hats, you'll split your time between marketing and promotion, front-office operations, client onboarding, practice management support, and light bookkeeping/billing logistics. What You'll Do Office Operations & Client Experience:
Maintain a welcoming, professional atmosphere in our Portland office. Greet arriving clients, handle incoming calls/emails with warmth and promptness, manage mail, and keep office inventory and vendor relationships humming.
Practice Management & Intake:
Manage calendar scheduling for attorney consultations and client meetings. Oversee new client onboarding workflows, ensuring engagement letters and client files are set up accurately in our practice management software.
Billing & Administrative Logistics:
Support our team with monthly client invoicing, expense tracking, and basic trust account (IOLTA) compliance logging.
Legal Support & Document Coordination:
Assist attorneys with document prep, trademark filings, corporate compliance records, and formatting business formation packages.
Process Optimization:
Identify small ways to make our day-to-day administrative workflows faster, cleaner, and more efficient.
What We're Looking For Experience:
2-4+ years of office administration, office coordination, or practice management experience (preferably within a boutique law firm, corporate environment, or professional services firm).
Tech-Savvy:
You adapt quickly to cloud-based tools. Hands-on experience with modern legal tech (e.g., Clio, MyCase, or Smokeball), Google Workspace, Docusign, and QuickBooks is a huge plus. Attention to

You take pride in flawless formatting, pristine calendar management, and keeping client files organized.
Communication:
Exceptional written and verbal communication skills with a client-first, approachable attitude.
