Job Description

Office Administrator — Design-Build Construction Long Custom Building & Remodeling is seeking an experienced, highly organized Office Administrator to serve as a central point of coordination for our growing design-build company. This individual will help connect our clients, designers, project managers, field team, trade partners, vendors, and company leadership. The ideal candidate is an exceptional communicator who understands the construction process, anticipates needs, manages numerous priorities, and maintains awareness of activity across the company. This is a highly visible, client-facing position requiring professionalism, discretion, initiative, and consistent follow-through. Essential Skills

  • Strong technology skills and the ability to learn new systems quickly Construction and Design-Build Knowledge
  • Working knowledge of residential construction and remodeling processes
  • Understanding of the typical project lifecycle, from initial consultation and design through estimating, selections, procurement, production, and project completion
  • Familiarity with construction terminology, documentation, schedules, contracts, change orders, purchase orders, and invoices
  • Ability to understand how administrative decisions, material orders, and communication affect project schedules
  • Experience coordinating information between office and field teams
  • Awareness of permitting, inspections, trade scheduling, and project documentation is preferred
  • Familiarity with Buildertrend or similar construction-management software is strongly preferred Bookkeeping and Accounting Experience
  • Previous bookkeeping or accounting support experience
  • Experience with accounts payable and accounts receivable
  • Ability to process and track invoices, vendor bills, client payments, purchase orders, and job-related expenses
  • Experience reconciling records and maintaining accurate financial documentation
  • Understanding of job costing and construction-related accounting is strongly preferred
  • Ability to work closely with company leadership and outside accounting professionals
  • Experience with QuickBooks or similar accounting software is preferred Material Acquisition and Vendor Coordination
  • Experience requesting pricing, placing orders, and confirming material availability
  • Ability to track selections, deposits, orders, lead times, deliveries, backorders, and damaged or missing materials
  • Strong vendor communication and relationship-management skills
  • Ability to coordinate purchasing needs with designers and project managers
  • Proactive follow-up to ensure materials arrive accurately and on schedule
  • Ability to maintain organized purchasing records and provide timely status updates
  • Understanding of how material delays and substitutions can affect construction schedules and client expectations Client Service Skills
  • Demonstrated experience communicating directly with clients in a professional environment
  • Ability to make clients feel heard, informed, and well cared for
  • Skilled at providing clear updates and setting appropriate expectations
  • Ability to respond calmly and professionally to questions, concerns, or changing circumstances
  • Commitment to delivering an elevated and consistent client experience
  • Ability to recognize when an issue should be handled directly and when it should be elevated to leadership Experience and Qualifications
  • Three or more years of office administration, operations, bookkeeping, or project-coordination experience
  • Experience within residential construction, remodeling, architecture, interior design, or a related industry is strongly preferred
  • Prior responsibility for coordinating clients, vendors, materials, schedules, and financial records
  • Proficiency with Microsoft Office, Google Workspace, email, calendars, spreadsheets, and digital file-management systems
  • Buildertrend and QuickBooks experience are strongly preferred
  • High school diploma or equivalent required; associate or bachelor's degree in business administration, accounting, construction management, or a related field is preferred The Right Person for This Role The successful candidate will be the organizational core of the company.

Pay:
$27.00 - $30.00 per hour Expected hours: 30.0 - 40.0 per week
