Job Overview We are seeking a dynamic and highly organized Office Administrator to streamline daily operations and ensure the smooth functioning of our office environment. This pivotal role involves managing administrative tasks, coordinating schedules, supervising staff, and maintaining effective communication across teams. This role is critical in supporting field technicians, coordinating customer communication, managing documentation, and assisting with billing and scheduling. Responsibilities Answer and direct phone calls in a professional manner Manage daily office operations and administrative tasks Schedule appointments, inspections, and project timelines Coordinate with project managers, crews, vendors, and subcontractors Greet visitors and clients; maintain a welcoming office environment Assist in the scheduling of technicians, jobs, and subcontractors Handle insurance claims documentation and communication Process invoices, purchase orders, and assist with billing and collections Order office and job-related supplies and maintain inventory Prepare reports, spreadsheets, and other documentation as needed Communicate professionally with customers, vendors, and insurance representatives Requirements 2+ years of administrative or office management experience ( preferably in construction, restoration, or service industries ) Strong organizational and multitasking skills Proficiency in Microsoft Office and general computer skills Ability to work in a fast-paced environment Excellent verbal and written communication skills Spanish-speaking candidates are strongly preferred. Detail-oriented and dependable
Working Conditions:
