Millersville, MDDay-to-Day Responsibilities:
Perform daily office administrative duties, including answering and directing phone calls, managing incoming and outgoing mail, scheduling, and maintaining sign-in/sign-out logsSearch SAM.gov and other government contract vehicles for new opportunities matching the company's capabilitiesUse Cleatus AI to identify, filter, and track relevant solicitationsCompile a weekly report of new contract opportunities and hand it off to the proposal writerTrack key solicitation details such as due dates, set-aside types, and submission requirementsProcess invoices and manage accounts payable tasksPrepare check payments, ACH payments, and wire transfersCommunicate with vendors regarding invoices and payment statusReconcile vendor statements and assist with accounts payable accrualsMaintain accurate financial and office recordsSupport audits by organizing required documentationGreet visitors and maintain visitor logsMonitor and restock office and kitchen suppliesPerform data entry, reporting, and general office support tasks

High school diploma or equivalentThree or more years of experience in accounts payable or administrative support preferredProficiency in Microsoft Office, including Excel formulas and pivot tablesExperience with accounting software such as QuickBooks, SAP, or SageFamiliarity with government contracting (SAM.gov, federal solicitations) a plus — we will train the right candidateComfort learning new software tools, including AI-based research platformsStrong organizational skills and attention to detailStrong research skills and the ability to summarize findings into clear, concise reportsClear written and verbal communication skillsAbility to manage multiple tasks and work independentlyBasic understanding of accounting principles and internal controlsInnovative Mechanical Contractors LLC is an Equal Opportunity Employer.
