Job Description

Job Summary:
The Retail Office Administrator/Receptionist is responsible for ensuring smooth and efficient operations in the retail office by providing administrative support, excellent customer service, interdepartmental coordination, order processing, data entry, and inventory coordination. This role supports the market staff, coordinates office needs, and manages records. Will include supporting the Market Manager and Assistant Manager by preparing records, and maintaining accurate documentation. This role is essential to creating a professional, well-run retail environment at Weaver's Orchard.
Minimum Qualifications:
High school diploma or equivalent required Customer service experience Strong communication and interpersonal skills Proficiency in Microsoft Word, Excel, Outlook, and general office software Highly organized with excellent time management and multitasking abilities
Preferred Skills/Experience:
Canva Handling cash and preparing deposits
Retail Primary Responsibilities:
Provide friendly and professional service to customers in person, over the phone, and through email Serve as the primary receptionist for the retail office Receive, process, and fill customer special orders Operate the point-of-sale (POS) system for transactions, refunds, and special orders Assist in resolving customer concerns by providing answers to questions, concerns, and complaints while working towards positive resolutions Communicate daily with the Market Manager and Assistant Manager for task prioritization Prioritize multiple tasks while maintaining accuracy in a fast-paced retail environment Provide support during peak business times in market and events departments Record and maintain accurate records in Excel and related systems Create and process invoices; manage PLU documentation Maintain digital and physical records for sales, purchases, and inventory audits Support inventory management by entering and updating data Assist in receiving procedures by tracking incoming product deliveries and verifying against purchase orders Balance cash drawers and assist with daily deposits Order office and first aid supplies Pull and organize records/reports as requested by the Market Manager and Assistant Manager Support retail price updates and signage coordination Assist with proofreading internal communications and customer-facing materials

Long periods of walking and standing can be expected during some events. Light lifting, bending, reaching, etc. can also be expected. The individual may be required to work outdoors where seasonal weather (hot, cold, wind, etc.) can be expected. (Weaver's Orchard will make reasonable accommodations as required by ADA) Physical appearance: Due to the nature of this position, and the image we wish to convey, we require conservative, neat/ clean attire. The individual will present as a professional in all manner of speaking. Dress is casual, but professional. Any other requirements will be found in the Employee Handbook.
Schedule & Structure:
This is a full-time, on-site, year-round position based in our market office. Work hours and responsibilities will vary by season, with increased demand during our peak months. From late summer through the fall, availability for at least three out of four Saturdays per month is required.
