We are a high-volume, fast-growing residential and small business trade contractor seeking a sharp, organized, and hands-on Office Manager to drive our administrative, financial, and operational systems. In this critical central role, you will oversee end-to-end office workflows, ensure seamless client experiences, manage bookkeeping processes, and support key HR and payroll functions. Key Responsibilities:
Financial Oversight & Bookkeeping (A/P & A/R): Manage Accounts Payable and Accounts Receivable workflows to maintain cash flow accuracy. Invoicing, payment processing, collection follow-ups, and managing vendor accounts. Coordinate daily with external bookkeeping partners to ensure financial records, billing, and statements remain up to date.
Human Resources & Payroll:
Process weekly/bi-weekly payroll accurately for office staff, sales team, and field personnel. Handle employee onboarding/offboarding, maintain HR records, track benefits/time off, and support team compliance.
CRM & Dispatch Management:
Oversee day-to-day operations within our CRM/dispatch platform. Ensure accurate job logging, customer tracking, scheduling, and efficient communication between field technicians, sales consultants, and client services.
Client Communications & Office Operations:
Serve as an escalation point for client inquiries, ensuring high levels of customer satisfaction for residential homeowners and business owners. Supervise and support front-office staff (CSR/Dispatch) on inbound call standards, booking practices, and workflow coordination. Maintain office supplies, records, vendor contracts, and general operational efficiency.
Qualifications & Requirements:
Experience:
3+ years of experience in office management, administrative leadership, or full-charge bookkeeping within a high-volume service, construction, or trade-industry environment.
Financial Acumen:
Direct experience handling Accounts Payable, Accounts Receivable, and payroll processing.
Excellent written and verbal communication skills with a client-first mindset.
Organizational Skills:
Exceptional detail orientation and ability to prioritize in a high-volume setting.
