Job Description
Responsibilities Coordinate the administrative scheduling needs of the department. Review duties of all administrative staff. Assess responsiveness and customer service strength of all front office staff. Assign a fill in for administrative staff absences or provide coverage as necessary. Troubleshoot issues as they occur when appropriate and report resolution back to Director of Outpatient Services. Meet with administrative staff as a group or individually as needed for any training issues. Assist with cross-training. Provide general oversight of administrative staff and completion of duties. Meet as needed with the Director of D&A to ensure the department operates in an efficient, professional, and recovery friendly manner. Coordinate daily office needs of all clinical staff. Handle daily interactions between Creative Health Services and the clients' payer source. Initiates client authorizations for therapeutic and psychiatric treatment. Coordinates and disseminates managed care and insurance information to the staff persons who handle specific processing tasks. Updates Creative Health financial billing and processing departments on managed care and insurance changes. Develops and participates in In-services to Creative Health staff regarding information pertaining to authorization practices. Works with Case Management when necessary for client psychiatric and medication appointments pertaining to issues with managed care, county funding, and private insurances. Resolves managed care and insurance discrepancies daily. Updates insurance/funding for clients daily as needed. Interacts with Billing Department, Case Management, and other D&A staff to ensure D&A services are billable. Manages clients' co-pays, responsible for co-pays entered into system and staff collection of co-pays. Driving to other locations if necessary to fill in for absences. Other duties as assigned. Qualifications Proven experience in office management or administrative roles with a strong background in accounting or finance. Demonstrated supervisory experience leading teams or managing staff effectively. Proficiency in Microsoft Office suite including Excel spreadsheets; experience with spreadsheets for data analysis preferred. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills—both verbal and written
