Business Office Manager (BOM) at Kinzua Nursing and Rehab, The Business Office Manager (BOM) at Kinzua Nursing and Rehab, is responsible for overseeing and managing all business office functions of the facility to ensure efficient, accurate, and timely financial operations. This includes billing, resident trust accounts, payroll coordination, accounts receivable and payable, and maintaining compliance with company policies, state, and federal regulations. The BOM serves as a key liaison between residents, families, vendors, and corporate accounting.
Essential Duties and Responsibilities:
Manage daily operations of the business office, ensuring accuracy and timeliness in all financial and administrative processes. Oversee and process resident billing for private pay, Medicare, Medicaid, and insurance claims. Monitor accounts receivable, prepare aging reports, and follow up on outstanding balances. Assist residents and families with financial questions, payment arrangements, and Medicaid applications as needed. Maintain resident trust accounts in accordance with state and federal guidelines. Process vendor invoices and ensure accurate coding and timely payment of accounts payable. Reconcile cash, bank accounts, and other financial records monthly. Coordinate with corporate billing and payroll departments to ensure compliance and accuracy. Prepare and submit required reports to corporate management and regulatory agencies. Maintain organized and confidential financial files for residents and the facility. Participate in leadership meetings and support the facility's overall financial health and performance. Supervise and train business office staff, ensuring exceptional customer service and professionalism. Assist in audits, surveys, and inspections as requested.
Qualifications:
High school diploma or equivalent required; associate's or bachelor's degree in accounting, business administration, or related field preferred. Minimum of 2-3 years of business office management experience in a skilled nursing facility or healthcare setting strongly preferred. Knowledge of Medicare, Medicaid, and insurance billing processes required. Proficiency with Microsoft Office Suite and accounting software (experience with PointClickCare or similar systems preferred). Excellent interpersonal and communication skills.
