- $25 an hour 15 hours ago Qualifications Customer communication Executive administrative support Research High school diploma or GED Bachelor's degree Driving Vendor contract management Business Administration Office management Negotiation Full Job Description Reports to: CEO / Executive Director Position Summary The Business Office Manager oversees day-to-day business operations, combining financial administration, contract coordination, project management, business development, marketing, grant writing, and travel logistics.
- Manage invoicing, expenses, accounts payable/receivable, reimbursements, budgeting support, financial records, and coordination with accountants.
- Maintain vendor, customer, and contract records; support contract discussions, negotiations, renewals, payment terms, and compliance tracking.
- Coordinate projects by managing schedules, meetings, action items, budgets, milestones, reports, and communications across teams.
- Support business-development efforts by researching prospects, maintaining CRM records, preparing proposals and presentations, and coordinating customer and partner follow-up.
- Manage digital-marketing activities, including website updates, social media, newsletters, email campaigns, and marketing materials.
- Research grant opportunities and prepare grant applications, budgets, supporting documents, progress reports, and submission materials.
- Book and coordinate business travel, including flights, hotels, rental cars, itineraries, meetings, and expense documentation.
- Drive locally for business meetings, errands, client visits, events, and travel-related needs when required.
- Provide general executive and office administrative support as needed. Qualifications
Required:
High School Graduate;Preferred:
Bachelor's degree (or in pursuit / OPT ) — or equivalent certification in business operations, accounting, finance or communications.- 1+ years of experience in office management, business operations, accounting administration, project coordination, or executive support.
- Experience with bookkeeping, invoicing, budgeting, contracts, project coordination, and business correspondence.
- Strong writing skills, including experience preparing proposals, grant applications, reports, or marketing materials.
- Familiarity with digital marketing, CRM systems, spreadsheets, accounting software, and project-management tools.
- Strong organization, attention to detail, communication, confidentiality, and ability to manage multiple priorities.
- Valid driver's license, reliable transportation, and willingness to travel as needed.
