Coordinate calendar management and scheduling for team members, ensuring optimal time utilization. Perform data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office. Oversee office management duties including filing, organizing documents, and maintaining office supplies inventory. Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client communication efforts. Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping. Assist with clerical responsibilities like proofreading documents, preparing reports, and managing correspondence with attention to detail. Support personal assistant functions as needed, including travel arrangements and calendar management for senior staff members. Maintain a clean, organized front desk environment while practicing excellent phone etiquette and professional communication standards. Experience Proven office experience with a strong background in administrative support roles. Familiarity with office management procedures and organizational skills essential for multitasking in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with computer literacy and technical proficiency in productivity software. Experience using QuickBooks or similar accounting software is preferred but not mandatory. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Demonstrated ability to handle data entry accurately while maintaining high levels of proofreading and attention to detail.
