Job Description

Office Administrator (Part-Time, Growth Opportunity) Window Gang Wilmington Role Overview The Office Administrator is a critical operator within Window Gang, responsible for managing inbound and outbound communication, supporting daily operations, and ensuring nothing falls through the cracks. This role is ideal for someone who follows direction precisely, manages their time without constant oversight, and communicates clearly and confidently with both customers and leadership. You will serve as both the first point of contact for customers and a key support system for the owner, helping drive revenue while maintaining organization and accountability across the business. This is a part-time role with clear opportunity for increased responsibility and growth as performance is demonstrated. Core Responsibilities Customer Communication & Scheduling Answer incoming calls from prospective and existing customers using GoTo Phone Respond to leads quickly, professionally, and with a solutions-oriented mindset Schedule jobs and estimates accurately in HouseCall Pro, following established SOPs Provide clear service information, pricing guidance, and availability Outbound Calls & Revenue Support Make outbound calls to provided contact lists to generate new jobs and re-engage past customers Follow up on estimates to convert opportunities into booked work Identify and recommend additional services when appropriate Follow-Up & Relationship Management Conduct weekly follow-up calls to recent customers to: Request Google reviews Schedule recurring or future services based on service intervals Maintain a professional, helpful tone that strengthens long-term relationships Administrative & Executive Support Keep the owner's schedule organized and up to date Track tasks, commitments, and follow-through to ensure completion Assist with day-to-day operational needs as they arise Tracking & Accountability Log all calls, leads, estimates, and outcomes accurately Maintain basic sales and activity metrics according to SOPs Ensure data is clean, consistent, and actionable What Success Looks Like You require minimal supervision and consistently execute assigned tasks without reminders You follow processes exactly while still thinking critically when situations require judgment You communicate clearly, confidently, and professionally in every interaction You convert inbound and outbound conversations into scheduled jobs You keep schedules, follow-ups, and commitments organized and on track You actively contribute to repeat business, positive reviews, and revenue growth Who This Role Is For Highly organized and self-managed individuals Strong communicators who are comfortable on the phone People who take ownership of their work and follow through Those who prefer clear expectations and take pride in executing at a high level
