Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support our team, manage administrative tasks, and enhance overall office productivity. This position offers an exciting opportunity for someone who thrives in a fast-paced environment and is eager to contribute to a positive workplace atmosphere. The ideal candidate will possess excellent organizational skills, strong communication abilities, and proficiency with various office management tools. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Maintain accurate data entry using software such as QuickBooks, Microsoft Office, and Google Workspace for invoicing, record keeping, and correspondence Oversee calendar management for appointments, meetings, and deadlines to ensure optimal time utilization Perform clerical tasks including filing, proofreading documents, and managing office supplies inventory Support bookkeeping activities by tracking expenses, processing invoices, and maintaining financial records Provide exceptional customer service by assisting clients, vendors, and team members promptly and courteously Coordinate office management activities to promote a productive work environment and streamline daily operations Skills Proficiency in QuickBooks for financial record keeping and bookkeeping tasks Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to multitask effectively in a busy office setting Experience with front desk responsibilities and multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated clerical experience including data entry, filing, proofreading, and document management Knowledge of office management best practices combined with strong time management skills Exceptional customer service skills with professional phone etiquette and support capabilities Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required Join us as an Office Administrator to be a key contributor in creating an efficient, welcoming environment that supports our team's success.
