Pro-King Construction About the Role We are a growing commercial construction company with an established presence across Canada and expanding operations in the United States. We are looking for an organized, detail-oriented Office Administrator to support and coordinate the day-to-day administrative and financial requirements of our U.S. operations. This role is ideal for someone who is comfortable wearing multiple hats and has a strong understanding of general administration, bookkeeping, invoicing, payroll, taxes, and business compliance. You will work closely with management and our Canadian operations to ensure the U.S. side of the business is organized, accurate, and running smoothly. Key Responsibilities Manage day-to-day administrative activities for the U.S. operations Maintain organized digital and physical records, documentation, and contracts Handle accounts payable and accounts receivable, including invoices, payments, and collections Assist with bookkeeping, reconciliations, expense tracking, and financial reporting Coordinate U.S. payroll and employee-related administration Assist with U.S. sales tax, payroll tax, and other tax-related requirements, working with external accountants and advisors as required Maintain corporate registrations, licenses, insurance documentation, and other compliance records Track project-related administrative and financial documentation Assist with job costing, purchase orders, subcontractor documentation, and vendor management Coordinate with Canadian accounting and management teams on cross-border administrative and financial matters Liaise with banks, accountants, insurance providers, vendors, subcontractors, and other external partners Help establish and maintain administrative processes as the U.S. operations grow Prepare reports, spreadsheets, and other information for management Provide general office and administrative support to the U.S. team Qualifications & Experience 3+ years of experience in office administration, accounting administration, bookkeeping, or a similar role Experience working in construction, contracting, engineering, or a related industry is an asset Working knowledge of U.S. bookkeeping, payroll, sales tax, and general business requirements Strong understanding of accounts payable, accounts receivable, invoicing, and reconciliations Comfortable working with financial records and sensitive information Strong proficiency with Microsoft Office, particularly Excel Experience with accounting or ERP software is an asset Excellent organizational and time-management skills Strong attention to detail and accuracy Ability to work independently and take ownership of tasks Strong written and verbal communication skills Comfortable working across Canadian and U.S. operations What We're Looking For We're looking for someone who is hands-on, organized, resourceful, and proactive. This person will be an important point of contact for the U.S. operation and should be comfortable identifying what needs to be done and following it through to completion. You should have enough U.S. finance and tax knowledge to understand the requirements, keep things organized, and work effectively with our external accounting and tax professionals. General construction knowledge is preferred, particularly for subcontractors, project documentation, purchase orders, job costing, and construction-related accounting.
