Overview We are a high-end custom fabrication company based in North Charleston, known for our dedication to handcrafting quality products for the home. As we continue to grow, we're looking for a detail-oriented and proactive Administrator to join our team. This role is ideal for someone who enjoys working in a creative, fast-paced environment and wants to make a significant impact on our financial operations. Core ResponsibilitiesMarketing & Client Administration Receive and organize new project inquiries. Ensure inquiries are acknowledged and moved through our established process. Collect necessary information from prospective clients. Maintain accurate inquiry and project information within our systems. Maintain a consistent social media presence. Manage and oversee Noble Studio rentals Purchasing & Vendor Coordination Send RFQs to vendors and suppliers. Track outstanding quotes and follow up when necessary. Issue and track purchase orders. Coordinate purchasing of materials, hardware, and other project requirements. Maintain organized vendor pricing and purchasing records. Help ensure materials are ordered when needed and purchasing information is communicated to the appropriate team members. Manage consumable inventory Project Administration Create and maintain job packets. Maintain organized project documentation in Google Drive. Maintain accurate project information and administrative tasks in Asana. Assist with preparation and distribution of job reports. Collect and organize project information needed by project managers, designers, and production. Track company and project KPIs and maintain accurate reporting. Help ensure administrative requirements are completed as projects move through the company. Maintain production meeting notes and assign action items. Scheduling contract labor with the oversight of the Project Director. People & HR Administration Coordinate new employee onboarding. Maintain onboarding documentation and checklists. Administer PTO requests and maintain accurate PTO records. Maintain organized employee documentation. Assist with scheduling reviews, meetings, and other recurring personnel processes. Maintain team building activities Provide administrative support for the BPS hiring process. Financial & Office Administration Collect, organize, and process receipts. Maintain accurate documentation for purchases and expenses. Coordinate administrative information with the company's bookkeeper. Maintain organized company records and files via Google Drive. Oversee invoice reminders Order office supplies and oversee general office needs. Help maintain and create recurring administrative systems, calendars, and reporting. Maintain permitting, licensing, and insurance compliance Operational Administration Work closely with the owner to identify strategic operational improvements and execute them. Required Skills Excellent organizational and time-management skills. Strong written and verbal communication. High attention to detail. Strong follow-through and personal accountability. Ability to manage multiple priorities without losing track of commitments. Comfortable communicating professionally with clients, vendors, and employees. Strong proficiency with Google Workspace , particularly Gmail, Calendar, Drive, Docs, and Sheets. Experience working with Asana or a comparable project-management platform. Comfortable learning new software and systems. Ability to handle confidential company and employee information appropriately. Core Competencies Organized and detail-oriented. Preferred Experience Bookkeeping or accounting-administration experience. QuickBooks experience. Purchasing or procurement experience. Experience supporting a business owner, executive, or senior manager. Experience in construction, architecture, interior design, manufacturing, fabrication, or another project-based business. Experience developing or improving administrative processes. What Success Looks Like Within the first six months: New inquiries are consistently acknowledged, organized, and tracked. The owner's calendar and inbox are significantly more organized and require less of his administrative attention. RFQs and purchasing requests are sent and followed through without repeated reminders. Project documentation, job packets, and Google Drive files are consistently organized. Asana accurately reflects the administrative status of active projects. KPI and job reporting happens consistently and on schedule. Employee onboarding and PTO administration run through documented processes. Receipts and purchasing records are consistently organized for bookkeeping. Administrative tasks no longer depend on the owner remembering that they need to happen. Pay:
$55,000.00 - $65,000.00 per year
