An Office Manager directs administrative staff and manages workflow in a business office. Supervises clerical work, tracks office supplies, oversees maintenance for office equipment and manages budget for office expenses. May hire and train staff.
3 days/week, 5 hours/day, business days and hours (no weekends/holidays). If you are able to come up with innovative and efficient ways to get mundane tasks done, proactive, able to anticipate and solve problems independently, you might just be the one! Professionalism when working with vendors, contractors, studios, answering phone calls and interacting with team members is absolutely needed! The most important quality we are looking in our applicants is that you are familiar with and open to working in a small sized companies because Chakrra is small and growing. We are prioritizing our funds and resources to be more efficient. Work pace can be varied and we need someone who can quickly adapt and still be productive.

What you will be doing:
Analyze and organize office operations and maintain office digital filing system, procedures such as legal, expenditure and other documents. Maintain confidentiality, work as part of a team, support other staff as needed. Maintain constant contact with team members, follow through on commitments without supervision. Coordinate and assist in planning off-site company meetings. Make travel, hotel and transportation arrangements when needed. Timely and meticulous responses to phone calls, emails, inquiries, etc. Updating the website, social media pages and make sure high traffic is maintained. Must be a self-starter, be able to multitask and efficiently handle multiple priorities. Draft job descriptions and post on suitable forums/websites. Triage applicants and assist management in scheduling and coordinating interviews with eligible candidates. Ability to work under tight deadlines. Onboard new contractors, explain company policies and procedures.
Managing vendor contracts:
Proof read, email to artists/vendors, follow up on signed contracts, file Company's copies, mail out signed copies to all signing parties. Receive and respond to routine correspondence. Provide administrative support to other staff as needed. Time management, organizational and multi-tasking skills necessary to work in a fast-paced environment, handling various tasks and changing priorities, while maintaining a high attention to detail and accuracy to achieve daily assignments and goals.
What education/training/experience you should have:
Education equivalent to graduation from High School or GED equivalent. Five or more years of office administrative experience.
Microsoft Office suite:
Microsoft Word, Excel and PowerPoint to prepare documents, spreadsheets and presentations. This can be a contract to hire position after a 6 month evaluation period for the right candidate and is subject to management decision.
