Full Job Description Job Summary:
We are seeking a polished, reliable, and professional office administrator/receptionist to be the first point of contact for our law firm. The ideal candidate will have excellent communication skills, a strong customer service mindset, and the ability to multitask in a fast-paced legal environment. This role is vital in ensuring a welcoming atmosphere for clients while supporting the firm's administrative operations.
Key Responsibilities:
Phone System Management:
Answer, screen, and direct phone calls promptly and accurately.
Mail Management:
Handle incoming and outgoing mail.
Client Management:
Return phone calls as directed by attorneys and legal staff. Schedule client appointments and attorney meetings.
Administrative Tasks:
Greet clients, visitors, and vendors in a professional and courteous manner. Assist attorneys and legal staff with administrative tasks as needed. Manage office supplies inventory and place orders when necessary.
Confidentiality:
Handle sensitive and confidential information with care, following strict protocols to maintain client privacy and data security.
Data Entry:
Perform data entry, scanning, and filing of client records and legal documents.
Qualifications:
Education:
High school diploma or equivalent required.
Experience:
Previous experience as an office administrator/receptionist, particularly in a legal setting, is preferred but not required.
Technical Skills:
Proficiency in using office software (e.g., Microsoft Office). Experience with legal records software is a plus.
Communication Skills:
Excellent verbal and written communication skills, with the ability to interact professionally with attorneys, staff and clients. Bilingual is a plus.
Time Management:
Ability to prioritize tasks and manage time effectively in a fast-paced legal environment.
Confidentiality:
Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
