Job Description

Office Manager - Construction Company We are seeking an organized, dependable, and detail-oriented Office Manager to support the day-to-day administrative and financial operations of our construction company. This position plays an important role in keeping projects organized, maintaining accurate financial records, communicating with customers, and supporting management throughout each project. The ideal candidate is comfortable working independently, managing multiple projects at once, communicating professionally with customers and subcontractors, and working extensively in QuickBooks and Microsoft Office. Key Responsibilities Project & Expense Tracking Track active construction projects from start through completion Maintain organized project records and documentation Track project expenses, purchases, subcontractor costs, and other job-related expenses Receive, organize, and track subcontractor invoices Monitor project costs and assist management with identifying budget discrepancies Maintain accurate records for each project Assist with project schedules, deadlines, and administrative follow-up QuickBooks & Financial Administration Maintain and update QuickBooks Online Enter and categorize project expenses Enter and track subcontractor and vendor invoices Reconcile transactions and accounts Maintain accurate customer and project records Run financial and project-related reports as requested Assist with invoicing and payment tracking Maintain organized receipts and supporting financial documentation Customer Communication Serve as a primary point of contact for customers throughout their projects Manage phone, email, and other customer communication Provide project updates and coordinate meetings Follow up with customers regarding estimates, agreements, scheduling, payments, and project documentation Maintain professional and timely communication Document important conversations, decisions, and project changes Office & Field Support Maintain organized digital and physical project files Coordinate appointments and client meetings Attend client meetings when needed Pick up customer checks, documents, materials, or other business-related items as needed Communicate with subcontractors, vendors, and other project partners Assist management with daily administrative and operational needs Help ensure projects remain organized and information is properly communicated between the office, customers, management, and field team Required Qualifications Reliable transportation and a valid driver's license are required Experience using QuickBooks is required Experience with Microsoft Office programs, including Excel, Word, and Outlook, is required Strong computer and data-entry skills Excellent written and verbal communication skills Strong organizational and time-management skills Ability to manage multiple projects, deadlines, and priorities simultaneously High attention to detail, particularly when working with financial information Ability to communicate professionally with customers, subcontractors, vendors, and management Ability to work independently and take initiative Preferred Qualifications Previous office management or administrative management experience Experience working for a construction, remodeling, contracting, or similar service-based company Experience with project cost tracking and job costing Experience managing customer accounts, subcontractor invoices, and project documentation Strong working knowledge of QuickBooks Online and Microsoft Excel This is not strictly a desk position. The Office Manager may occasionally need to travel locally to attend client meetings, pick up checks or documents, and handle other company-related errands. Reliable transportation is therefore required.
Pay:
From $17.50 per hour Expected hours: No less than 30.0 per week
