Company Overview Seniors Helping Seniors Delco is a compassionate caregiving service based in Aston, PA, dedicated to empowering seniors to live independently in their homes. Our team of senior caregivers provides essential in-home care services, ensuring that our clients receive the support they need while maintaining their dignity and comfort. Role Overview The Office Manager serves as the operational and HR engine of Seniors Helping Seniors (SHS) Delco . This position directly manages full-lifecycle caregiver recruitment, HR administration, regulatory compliance, and daily office operations. In addition to supervising the Scheduler, the Office Manager oversees payroll, billing, employee relations, and KPI tracking, while driving continuous improvement and handling inbound sales calls to convert prospective clients.
Core Responsibilities HR, Recruitment & Staffing Recruitment & Hiring:
Lead end-to-end caregiver recruiting, including screening, conducting all interviews, processing candidates, background checks, and onboarding.
HR & Employee Relations:
Handle caregiver and client grievances, enforce attendance policies, manage annual anniversary requirements, and conduct merit reviews and compensation decisions.
Retention & Culture:
Manage employee recognition programs, including the Caregiver Spotlight program.
Training & Orientation:
Help execute a 12-month caregiver in-service plan covering key senior care topics and operational standards.
Operations & Team Supervision Scheduler Supervision:
Directly oversee the Scheduler to ensure seamless coverage, accurate shift documentation, swift management of call-outs, and client/caregiver schedule adjustments.
Compliance & Audit Readiness:
Maintain 100% compliance across all caregiver and client files, ensuring ongoing audit readiness and adherence to state/company standards.
Inbound Sales & Client Intake:
Handle inbound sales calls with the goal of converting prospects into active clients through supportive, informative consultations.
Financials, Reporting & Strategy Billing & Payroll:
Manage accurate and timely billing and payroll processing.
KPI Tracking & Reporting:
Create, maintain, and analyze key performance indicator (KPI) reports to track office performance and inform management.
Strategy & Process Improvement:
Recommend actionable ideas to increase revenue, lower operational costs, expand services, or improve grass-roots marketing efforts.
Qualifications & Key Attributes Experience:
Background in healthcare operations or office management is a plus.
Leadership & Supervision:
Proven ability to supervise staff (e.g., Schedulers) and resolve sensitive client or caregiver grievances.
Compliance Mindset:
Strong attention to detail with experience managing files for audits and regulatory compliance.
Communication & Sales:
Empathetic listener capable of converting inbound prospective leads into active clients.
Technical Skills:
Proficient in data entry, scheduling tools, CRM software, and generating spreadsheet reports for KPI tracking.
