Office Manager / Administrative Generalist Sevens Holdings / CCS Denver, CO Job Details Part-time $25 - $32 an hour 4 hours ago Benefits Flexible schedule Qualifications Google Workspace Calendar management QuickBooks Organizational skills Office management Full Job Description About Us We're a family-owned group of Colorado businesses: Colorado Construction Services (commercial general contractor), Sevens Holdings (residential rentals, commercial/retail spaces, and self-storage), Sevens Investment Partners (real estate investment), and The Garden Cafe (specialty coffee shop in Denver's RiNo neighborhood). We're a small, hands-on team looking for one highly organized person to keep the back office running across all of our companies. This isn't a narrow admin role. You'll make sure invoices go out, insurance stays current, permits and licenses are handled, documents are filed correctly, and loose ends get closed. This Role Is for You If You like doing the work yourself: preparing the document, sending the invoice, making the call, and following up. You enjoy variety and can switch between companies and tasks in the same day. You don't just make a to-do list. You follow things through until they're done. You're comfortable calling clients, subcontractors, city departments, insurance agents, lenders, and vendors. What You'll Do Construction Administration Track permits and inspections, and follow up with municipalities as needed. Track contractor licenses and registrations, including renewals and applications. Collect and maintain COIs, W-9s, contracts, subcontracts, and change orders from subcontractors and vendors. Keep project and vendor files organized and current. Invoicing & Accounts Receivable Prepare and send client invoices accurately and on time. Track outstanding invoices and follow up on payments. Work with ownership and our bookkeeper to resolve billing questions. Insurance Management Insurance tracking is a key part of this role. Maintain records of all policies across our companies and properties. Track renewal dates and start renewals before policies expire. Obtain and compare quotes for our rental properties, commercial/retail spaces, and construction company. Work with brokers and carriers on renewals, coverage, and certificates. Compliance, Payroll & Tax Filings Maintain a calendar of filing, licensing, insurance, and renewal deadlines. Help with payroll in Gusto, Colorado FAMLI filings, and sales tax filings. Maintain state and local business registrations. Coordinate with our bookkeeper, accountants, and other professionals. Real Estate & Property Support This role supports ownership and our virtual assistants. It is not a leasing or property manager position. Maintain property, tenant, vendor, and insurance records. Help with notices, correspondence, and vendor paperwork. Organize lender, financing, acquisition, and closing documents when needed. Google Drive, Slack & Document Management Maintain a clear Google Drive filing system across multiple companies. Find documents quickly when ownership, lenders, accountants, or agents need them. Coordinate with our VAs on Slack and make sure handed-off tasks get completed. General Office Support Draft letters, agreements, and notices. Manage calendars, deadlines, and task lists. Help ownership stay on top of priorities and improve our systems as we grow. What We're Looking For We care less about a specific job title and more about finding someone organized, dependable, and comfortable wearing multiple hats. Office management, admin, construction admin, property management, or small-business experience Strong organization, follow-through, and attention to detail Clear, professional written and verbal communication Solid Google Workspace skills, especially Google Drive QuickBooks Online, Gusto, Colorado FAMLI, and Slack experience are a plus Comfortable learning new software and government filing portals Discretion with confidential business, financial, employee, tenant, and investor information We don't expect one person to already know everything. We want someone who figures it out.
Pay:
$25.00 - $32.00 per hour Expected hours: 25.0 - 30.0 per week
