Job Description

Bookkeeper & Office Manager Reports to: Chief Executive Officer (CEO) Organization Description West Virginia Women Work (WVWW) is a statewide 501(c)(3) nonprofit dedicated to supporting and advocating for the education, employment, and economic equity of all women. WVWW operates workforce development and pre-apprenticeship training programs across West Virginia, with a focus on skilled trades, economic mobility, recovery-to-workforce pathways, and serving rural and historically underserved communities. WVWW is in an exciting period of growth, expansion, and systems development, including the launch of a new headquarters and workforce training HUB in Fairmont, WV. Position Summary The Bookkeeper & Office Manager is responsible for supporting the day-to-day financial and administrative operations of WVWW. This position plays a key role in maintaining organized financial records, supporting payroll and grant tracking processes, managing office operations, and helping ensure the organization runs smoothly and efficiently. The ideal candidate is highly organized, dependable, detail-oriented, and comfortable working in a dynamic nonprofit environment where priorities may shift quickly. Core Responsibilities 1. Bookkeeping & Financial Support Assist with day-to-day bookkeeping and financial recordkeeping Process accounts payable and accounts receivable Assist with payroll processing and related documentation Reconcile receipts, invoices, and financial transactions Maintain organized financial files and records Support the preparation of reports and documentation for grants, audits, and Board reporting Assist leadership with budget tracking and expense monitoring 2. Grant & Administrative Documentation Support Maintain organized grant files and supporting documentation Assist with tracking grant expenditures and required documentation Help prepare materials for reimbursement requests and reporting Ensure records are complete, organized, and audit-ready 3. Office Management & Organizational Support Oversee day-to-day office operations and organization Maintain office supplies, equipment, and general administrative needs Coordinate mail, deliveries, and office communications Help maintain organized digital and paper filing systems Assist with scheduling, meeting preparation, and administrative coordination 4. Operational & Staff Support Support staff with administrative and operational needs Assist leadership in maintaining organized internal workflows and documentation Help ensure forms, records, and organizational processes are completed consistently Provide logistical support for trainings, meetings, and organizational events as needed 5. Technology & Systems Support Assist with basic organizational technology needs, including: o Shared file organization o Document management o User access and account setup support Help maintain accurate digital records and databases Support staff in using organizational systems and tools 6. Communication & Professionalism Serve as a professional and welcoming point of contact for students, staff, partners, and visitors Maintain confidentiality regarding organizational, personnel, and financial information Communicate clearly and professionally with staff, vendors, and community partners Preferred Qualifications Experience in bookkeeping, office management, administrative support, or related fields Experience with QuickBooks or similar accounting software preferred Strong organizational and time management skills Comfortable learning and using technology systems and databases Ability to manage multiple priorities in a fast-paced environment Strong attention to detail and follow-through Experience in nonprofit, workforce development, education, or community-based organizations is a plus Work Environment This is a full-time position based in Fairmont, WV with flexible scheduling and limited remote work opportunities. Compensation & Benefits Salary Range:
$40,000-$48,000, depending on experience and qualifications 100% employer-paid medical/dental/vision insurance for full-time employees after 60 days of employment

They understand that behind every receipt, reimbursement request, payroll entry, and organized file system is a program serving real people across West Virginia. The ideal candidate takes pride in creating structure, consistency, and organization that allows staff and programs to operate effectively. This person is adaptable, willing to learn, comfortable using technology and organizational systems, and able to manage multiple priorities with professionalism and follow-through. They do not need to know everything on day one, but they should be proactive, resourceful, and willing to grow with the organization.
